Administrative Assistant/Event Planner

Reports to: Executive Vice President Position Type: Full-Time | Non-Exempt Salary: Negotiable The New Mexico Bankers Association is seeking a highly organized and dynamic Administrative Assistant/Event Coordinator to join our team. Administrative Assistant Functions • Provide administrative and financial support to the Executive Vice President (EVP) • Act as point of contact for internal and external office operations • Manage and maintain corporate files and association databases • Coordinate technology systems and updates • Maintain positive and ongoing relationships with endorsed companies • Review contracts to ensure NMBA and vendor compliance • Support recruitment efforts for new members and associate membership • Coordinate annual dues correspondence with accountant • Record minutes at board meetings and maintain records • Assist with NMBA educational webinar program • Handle general office duties and light clerical accounting tasks • Maintain website and social media platforms (LinkedIn, Facebook) • Compile, proof, and distribute annual Bank Directory • Collaborate closely with outside accounting firm Event Coordinator Functions • Coordinate 5 major events per year from planning to execution • Secure venues, accommodations, A/V needs, and manage contracts through to signature • Organize planning meetings and prepare materials • Manage communications with speakers: confirmations, bios, and logistics • Solicit sponsors, ensure sponsor recognition and signage • Coordinate catering, registration materials, name badges, evaluation forms, etc. Qualifications • Minimum 5 years’ experience in executive-level administrative support • Minimum 5 years’ experience in event planning • Bachelor’s Degree preferred • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), QuickBooks, Photoshop, Canva, Dreamweaver, and social media platforms • Strong communication, time management, and organizational skills • Ability to multitask, meet deadlines, and adapt quickly to changing priorities • Attention to detail, analytical thinking, and problem-solving skills • Energetic team player with a positive attitude and strong work ethic
