We are looking for a detail-oriented Administrative & Event Coordinator to join our team on a contract basis in Austin, Texas. In this role, you will provide essential support for planning and executing events, managing logistics, and ensuring smooth administrative operations. This position offers an exciting opportunity to work collaboratively with a dynamic team in a fast-paced environment.Responsibilities:• Coordinate and manage logistics for both in-person and virtual events, including scheduling, travel arrangements, and meal planning.• Organize attendee registration processes and ensure all necessary materials, such as name tags, handouts, and signage, are prepared and delivered on time.• Maintain detailed event records, timelines, and checklists to ensure all deadlines and objectives are met.• Track attendance, compile participant data, and input information into Salesforce and other CRM tools.• Process and monitor invoices and payments for event vendors, facilitators, and other service providers.• Assist with vendor and speaker coordination, including sending contracts and collecting required documents such as W-9s and banking details.• Provide on-site or virtual support during events, managing check-ins, distributing materials, and troubleshooting technical issues.• Support audio/visual and platform setup for events, following guidance from the Project or Event Manager.• Contribute to team meetings, post-event reviews, and brainstorming sessions to improve future event processes.• Assist with general administrative tasks and identify opportunities to enhance workflows and operational efficiency.
