Administrative & Event Coordinator

Petauri Advance Carmel, Indiana

We are seeking a proactive, detail-oriented Administrative & Events Coordinator to manage the Carmel office and provide high-level administrative and logistical support to the team. Office Management • Oversee operations of the Carmel, IN office • Maintain cleanliness, supplies, and organization of the office space • Collect physical mail weekly; scan and distribute it to the appropriate recipients • Coordinate with landlords, vendors, and service providers as needed • Prepare the office space for meetings, work with the meeting owner to plan and support meeting by ordering and/or setting up meal service, and ensuring necessary materials are available for a smooth and professional experience Personal Characteristics • Friendly, warm, and welcoming demeanor • Exceptionally detail-oriented and organized • A self-starter with strong initiative and follow-through • Creative and resourceful in solving problems and planning events • Committed to delivering a high-quality experience to both internal teams and external clients • Professional and reliable, with a strong sense of responsibility and integrity Preferred Qualifications • 2–4 years of administrative or office management experience • Experience in event planning, customer service, or hospitality is a plus • Advanced knowledge of Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) • Comfortable with office technology (printers, scanners, AV equipment, etc.) This is an opportunity to join a dynamic, people-focused company and make a meaningful impact on the day-to-day experience of our employees and clients.
