Administrative Assistant will be responsible for daily office, event planning and catering support, and sales assistance.Responsibilities and Duties:Maintain client relationshipsPerform administrative responsibilities including answering phones, replying to emails in a timely manner, managing event calendar, filing, mail, and general office organizationCreate event spreadsheets for various purposes as neededFormat menus and proposalsAssist in creating and distributing marketing materialsSocial Media content creating, posting and maintainingAssist with event preparation duties such as reviewing rental items, coordinating event staff, and communicating with outside vendors such as DJ’s, photographers, florists & bakeriesSupervising and assisting with wedding set-up, including linens, china, glassware, flatware, and silver according to event specifications.Supervising event service staff, and assisting with training and developmentPerform occasional personal assistant dutiesAssist with special projects as assignedQualifications and Requirements:Driver’s License and reliable form of transportationKnowledge of Microsoft Office SuiteFlexible scheduleExcellent oral and written communication skillsAbility to adapt to a changing environment and handle multiple priorities3-5 years catering experienceKnowledge of Caterease software preferredPrevious event/catering or restaurant experience preferredKnowledge of food, wine, and spirits a plusAssisting in service of the event as necessary.Availability to work a varied schedule, including weeknights and weekends.Previous event management experience strongly preferred.Natural ability to take initiative and ownership to resolve problems, and handle stressful situations in a calm and professional manner.Only individuals may apply – NO recruiters or staffing agencies.Job Type: Full-timeSchedule:HolidaysMonday to FridayWeekend availabilityEducation:Hospitality or Marketing Degree (Preferred)Work Location: In personThis is an exciting opportunity for an experienced Event Coordinator to join our team.
