**Job Description**
To plan and coordinate
equipment and facility set-up for meetings, conferences, and special events; to
supervise the maintenance and security of a state building; perform related
work.
*The successful candidate supports the
daily operational execution of event logistics, setups, and teardowns across
the Idaho State University campus. Serving as a primary liaison between
facility guests and department staff, this role ensures the delivery of premier
customer service and the seamless execution of scheduled university functions.
The Coordinator works hand-in-hand with the event setup team, oversees
sophisticated audiovisual integrations, and maintains clean, secure, and
professional environments across venue spaces.*

**Key Responsibilities**
*Daily Operations & Customer Service
-Provide
frontline hospitality by welcoming clients and stakeholders for scheduled
events, delivering proactive assistance, and managing real-time logistical
changes.
-Serve
as a central institutional resource accurately interpreting university policies and
facility procedures.
-Facilitate
cross-departmental communication and collaborate closely with full-time management to
ensure operational alignment.
-Compile
comprehensive operational reports detailing daily activities, shift dynamics, and
incident data or unusual circumstances.
Event Management & Supervision
-Coordinate
physical event configurations, managing the deployment and teardown of tables,
chairs, pipe-and-drape configurations, stanchions, and specialized outdoor
equipment.
-Supervise
and lead the Event Services crew, assigning daily workflows, monitoring operational
productivity, and fostering a collaborative team environment.
-Audit
venue configurations against official daily setup worksheets to verify
physical setup accuracy and compliance.
-Oversee
technical audio-visual (AV) operations, troubleshooting and managing the
deployment and breakdown of portable digital projectors, laptops,
microphonic systems, and supporting equipment.
-Operate
professional-grade AV configurations safely, including 16-channel
mixing consoles, amplifiers, monitors, loudspeaker systems, and video
projection displays.
-Spearhead
employee training initiatives, orchestrating onboarding sessions, staff
orientations, ongoing technical AV instruction, and continuous in-service
development workshops.
Facility Maintenance & Safety
-Maintain
rigorous facility cleanliness standards across assigned event venues,
encompassing waste management, furniture sanitization, carpet/upholstery
spot cleaning, and necessary upkeep.
-Uphold
safety protocols to protect guests, staff, and university assets.
-Execute
emergency response procedures effectively during medical incidents, fire alarms,
civil disruptions, or severe weather conditions.
-Manage
logistical storage areas, ensuring equipment staging zones and supply closets
remain organized, inventory-controlled, and compliant with safety codes.
-Mitigate
facility infrastructure issues by promptly initiating communication with the on-call
emergency maintenance crew for building failures (e.g., floods, structural
leaks).*
**Minimum Qualifications**
Some knowledge of:
-Supervisory practices.
-Adding, subtracting,
multiplying, and dividing whole numbers.
Experience:
-Resolving customer
service problems.
-Developing written
reports.
-Operating and
maintaining commercial lighting, audio-visual, and sound equipment.
-Using tools,
equipment, materials and common practices used in facility preparation
including custodial work.
**Specialty Requirement**
-These positions at ISU
require a valid driver's license.
**Supplemental Information**
-This position works
special events and is subject to 24-hour call.
-This work requires the ability to regularly lift and carry 35
pounds, with the possibility of lifting as much as
90 pounds.
-This work involves
standing and walking approximately 80% of work time.
**Additional Information**
