Conventions & Event Planning Manager at HeartFlow in Remote

HeartFlow, Inc. is a medical technology company transforming the diagnosis and management of coronary artery disease, the #1 cause of death worldwide, using cutting-edge technology. S/he will also be required to work across functions with Marketing, Sales, Medical Affairs, Communication, external vendors, and the regions to maximize HeartFlow's presence and perception at each convention. Job Responsibilities: Lead the planning, organizing, and managing of HeartFlow at major global and regional Congresses Work closely with congress organizers to secure a strong presence in scientific sessions and exhibitions Lead sponsorship discussions with congress organizers and societies to best position HeartFlow's presence Lead on overall congress strategy and objectives with Marketing Work in close partnership with different stakeholders (e.g., downstream marketing, communications) to support the execution of the overarching communication strategy at conventions Organize key internal events such as customer VIP meetings as needed Lead planning meetings; set up and maintain budgets for conventions and events Plan and implement HeartFlow exhibits and symposia at conventions- in person, virtual, or hybrid format Work with vendors to design booth space, organize equipment and literature, oversee setup and dismantling of the exhibit Coordinate logistics (hotel and registration) as needed Follow-up on analytics and ROI post-congress Stay up to date on new trends in exhibit design and digital event environment Skills Needed: Outstanding project management, organization, and leadership skills. Excellent relationship management skills with congress organizers and vendors Collaboration with cross-functional teams and sales force Self-motivated, able to contribute both individually and as a leader.
