POSITION DESCRIPTION Position: Christmas Festival Event Coordinator Reports to: President of Main Street Gettysburg Status: Seasonal (August - December) MAJOR FUNCTIONS The Event Coordinator provides administrative and coordination support for A Gettysburg Christmas Festival. ESSENTIAL FUNCTIONS Coordinate with President of Main Street Gettysburg and event subcommittee(s) Plan and organize according to budget and timeline Reserve venues Research... entertainment, activities, vendors, etc. to secure reservations and/or contracts Plan, schedule, and organize time slots for entertainment at various locations Assist with programming, entertainment, activities, vendors Tracks details of all festival events Meet with clients and coordinate with them regularly Compare vendors and negotiate services Handle, coordinate, and oversee all event operations Track expenses regularly Coordinate event preparation Help with set up, execution, and tear-down Offer solutions to resolve problems in a timely manner Analyze and evaluate results Create and present reports Update festival website as needed Maintain master contact list ADDITIONAL RESPONSIBILITIES Maintain a positive working relationship and professional demeanor with President, Office Administrator, Board of Directors, businesses, organizations, and all contacts for festival participation Provide regular updates to President for Board updates Education and Experience Experience as event coordinator or similar role Portfolio of successful events Knowledge of local businesses and organizations Sense of ownership of festival and its impact on the community Critical thinker and problem-solving skills Project management planning, organization, and execution skills Experience working with volunteers Good time-management and organizational skills Great interpersonal and communication skills Ability to work independently Ability to work remotely and attend meetings when scheduled Strong writing skills and speaking ability Technology Strong technology skills Working knowledge of Microsoft Office programs (Word, Outlook, Excel, PowerPoint) Extended knowledge of systems that include the ability to design, include pictures, etc. Estimated Salary: $20 to $28 per hour based on qualifications
