Event Coordinator

As part of this, create and manage a tracking sheet of all requests submitted and report on metrics such as volume and completed/rejected requests by team Collaborate with our Sales team to plan and manage VIP dinners including venue, calendaring/scheduling, guest count, presentation prep, contracts, deliverables tracking, swag etc. Review, negotiate and approve hotel contracts for block booking rooms for internal employees Manage invitations to internal stakeholders, sending calendar invitations and event confirmations and create and share individual itineraries for internal executives attending clients' owned events Create internal comms to promote client events and encourage employees to share social posts using assets you will create in partnership with the internal comms team Manage daily reporting to Marketing leadership on attendee counts and customer/prospect type versus targets for all in-person events - Create training packs and swag for event ambassadors to ensure they are on brand and create memorable experiences for our attendees Utilize customers feedback mechanisms and sentiment analysis tools to gather qualitative data post events to share with executive leadership - Experience managing purchase orders for events and cross-functional projects - Provide general administrative support to the team as needed. Skills: You have 5+ years of hands-on experience in operations and coordination roles supporting global large-scale events You have outstanding organizational and project management skills, and the ability to prioritize and balance dynamic and conflicting demands under the pressure of deadline You can demonstrate ability to create end-to-end processes and come up to speed quickly on new business domains You are highly self-motivated and willing to proactively take on issues within the team and cross-functionally to find durable solutions You are a self-starter and thrive when building something new, whether it''s initiating and leading projects and programs or developing new processes and ways of working You are a strong communicator (written/verbal) and have a high level of energy and passion for people and quality You are highly collaborative in your approach with partnering effectively with many different internal and external stakeholders, including agency partners, Sales teams and Event Organizers You are flexible and adaptive to change with the ability to multitask in a fast-paced environment.
