The Event Coordinator reports directly to the Director of Sales and Marketing and plays a crucial role in managing and coordinating all aspects of event logistics between clients and our sales office. This role requires someone who is detail-oriented and capable of multitasking across various responsibilities, including liaising with banquet staff, operations managers, and marketing teams to ensure every event runs smoothly. The primary duties include handling contracts, deposits, transportation, event check-ins, and final payments. The coordinator also prepares event folders complete with all necessary documentation and tools such as banquet checklists, drink tokens, and wristbands.
In addition to operational logistics, the Event Coordinator manages interactive communication with guests and potential customers, updates marketing materials, tracks banquet competitions, and supports grassroots marketing initiatives. This role supports brand awareness through social media management on platforms like Facebook, Instagram, and TikTok, including creating engaging content and managing influencer partnerships. An essential part of the position is maintaining the organization of supplies, inspecting equipment, and supporting events that drive community engagement and promote the company’s brand locally.
The role demands excellent computer skills, spreadsheet familiarity, and some experience in food entertainment centers (FEC), restaurant, or hotel catering environments. Candidates with a college degree are preferred but not mandatory. The job requires availability to work weekends and the ability to manage competing priorities efficiently. The position involves approximately 70% sales-related activities and 30% marketing initiatives, making it a unique opportunity for individuals looking to advance their careers in event sales and marketing. Minimum of one year of FEC/restaurant/hotel catering experience in a high volume environment
