This position is responsible for managing and executing all events identified by the Director of Stakeholder Engagement. Event Planning and Execution • Work with the Director to identify stakeholder engagement strategy, goals and key performance indicators for each event • Work with the Director to identify key audiences and curate an outreach plan and invitation list as appropriate • Assist the Director in planning and executing prioritized stakeholder outreach initiatives, presentations, communications, surveys, events and other forms of engagement for internal and external audiences • Support high-quality stakeholder engagement programming for airport long-term plans, environmental reviews and other planning-related initiatives • Document and track MAC events and high-engagement activities and meetings. Ensure MAC Senior Staff awareness and support on key engagement opportunities • Lead committees to plan, coordinate and execute signature events like annual State of the Airport luncheon and MAC annual all employee event • Maintain strong relationships with internal and external event clients, stakeholders, and venues, which includes proactive communication and follow through • Manage all details of in-person and virtual event planning and implementation as required, including execution, logistical support, coordination of design needs and post-event initiatives • Coordinate and manage all necessary vendors/partners • Create and manage programming/run of show • Secure location/AV/negotiate contracts • Order appropriate catering and supplies • Manage décor/photographers • Obtain licenses or permits, as necessary • Serve as on-site management, respond to event problems or complaints and obtain guest feedback • Analyze event success, implement post-event surveys, prepare recap reports and track impact metrics • Maintain a neat and professional appearance • Perform other duties as assigned and/or approved by the Director, Stakeholder Engagement Partner with Strategic Marketing and Communications • Work with Strategic Marketing and Communications Department leadership for cross-divisional project planning and management including necessary creative, communications and engagement services support (scripting, newsletters, websites, PowerPoints, theme, printed materials, giveaways, collateral) • Work with the Strategic Marketing and Communications Department to build MAC/MSP brand identity at each event to broaden awareness and increase the visibility of the MAC • Support the Strategic Marketing and Communications team as requested with news conferences, ribbon cuttings, and other media/public affairs related events • Manage and execute event activities that support key marketing strategies with consistency in content and messaging among divisions and stakeholders • Partner with the Audio-Video Communications Specialist in the creation, editing and production of videos and photos that assist in informing and engaging MAC employees and the general public • Occasionally assist in recording MAC Commission and Committee meetings, as needed by the Audio-Video Communications Specialist • Support the Strategic Marketing department in writing and editing internal and external communications related to engagement and events • Two-year degree in hospitality, business or a related field • Five years of professional work experience in event and hospitality coordination • Ability to multi-task and stay highly organized and accountable • Process and deadline-driven • Collaborative style to work effectively with different functional areas • Proven crisis management skills • Strong team leadership and communications skills • Professional presence when interacting with clients and audience members • Understanding of business and social etiquette • Able to assist with any level of event including those of a complex nature, large volume or a high level of confidentiality • Effective under pressure • Detail oriented • Ability to occasionally lift or carry items • Experience motivating, engaging and recruiting event support individuals or teams • Intermediate experience with Microsoft Word, Excel, PowerPoint and Outlook • Experience setting up and trouble-shooting AV technology • Valid driver’s license and reliable vehicle to commute between sites • Ability to work evenings and weekends, as planning and event schedules demand
