Event Coordinator

Presidential Events and University Ceremonies provides strategic leadership in event design, logistics, management, and protocol services for a complex portfolio of high-level events on behalf of the Office of the President. The department is committed to creating memorable experiences that enhance the University’s reputation, strengthen relationships with key stakeholders, and uphold the highest standards of excellence.

The Office of Presidential Events and University Ceremonies seeks an event coordinator to help plan and execute some of the University’s most significant and visible events. This position serves as a key event operations and project management partner, contributing to the work towards presidential events, Commencement activities, University ceremonies, select donor and alumni engagement events, and other special programs that advance the University’s mission.

The Event Coordinator supports the planning, coordination, and execution of presidential events, commencement activities, university ceremonies, donor and alumni engagement events, and other special programs that advance the mission and strategic priorities of the University and the Office of the President. Reporting directly to the director of Presidential Events and University Ceremonies and working closely with the associate director, this position coordinates projects involving multiple departments, vendors, and stakeholders; facilitates communication and planning efforts; and helps ensure the successful delivery of complex, high-profile University events. The position is responsible for maintaining project momentum, monitoring timelines and deadlines, coordinating operational details, and supporting event execution in accordance with University standards and protocol.

Required: A bachelor’s degree with at least three (3) years of professional experience in event planning, project management, administrative coordination, conference services, or a related field. Experience coordinating multiple projects with competing deadlines and priorities. Experience providing administrative, logistical, or operational support for events, programs, or organizational initiatives. Experience using Microsoft Office Suite and other business technology applications.

Preferred: At least four (4) years of professional experience coordinating events, ceremonies, conferences, or special events, in a higher education, corporate, nonprofit, government, or executive-level environment. Experience supporting high-profile events involving senior leaders, donors, alumni, community partners, or external stakeholders. Experience with event registration systems, guest management processes, and event communication platforms. Experience tracking budgets, reconciling expenses, and maintaining financial records related to events or programs.

Duties Include, But Are Not Limited To

Develop and maintain project plans, timelines, task lists, event calendars, and other planning tools for presidential events and university ceremonies.Monitor deadlines, assignments, approvals, and key milestones to ensure projects remain on schedule and event objectives are achieved.Coordinate with campus departments, vendors, and external stakeholders to support successful event planning and execution.Maintain event records, planning documents, contact databases, schedules, and financial tracking documentation.Assist with invitation processes, guest management, seating plans, signage, venue reservations, vendor coordination, contracts, and onsite event operations.Coordinate event logistics with facilities, public safety, transportation, catering, production, and other campus partners to ensure seamless event experiences.Prepare and maintain event day materials and communications, including event briefs, run-of-show documents, scripts, diagrams, vendor instructions, and other operational resources.Maintain and update departmental and event websites to provide accurate and timely event information.Providing responsive, professional service to University leadership, faculty, staff, students, alumni, donors, and guests.Anticipate challenges, identify solutions, and contribute to exceptional event experiences that reflect positively on the University and the Office of the President.

Program Coordinator I (AH35/61122724/FTE-S01200P), full-time position with benefits.SC State Pay Grade: GEN08. Salary range: $46,206.00 (midpoint) – $62,322.00 (midpoint). Normal work hours are Monday through Thursday, 8:00 a.m. – 5:00 p.m., and Friday 8:00 a.m. – 12:30 p.m. Must be flexible to meet the special scheduling needs of the university. Occasional evening, weekend, and irregular work hours during peak event periods, as well as limited travel, are required.

Knowledge, Skills & Abilities

Knowledge of university ceremonial protocol, event etiquette, and best practices associated with executive-level events. Ability to work flexible hours on occasion, including evenings and weekends, as needed to support presidential events, university ceremonies, and special events. Knowledge of event planning, event operations, project coordination, and customer service principles. Knowledge of website content management systems and digital communication platforms. Ability to organize and coordinate multiple projects with competing deadlines and priorities. Ability to communicate effectively, both verbally and in writing, with diverse internal and external audiences. Proficiency with Microsoft Office Suite and other technologies used to support event planning and project management. Ability to exercise sound judgement, discretion, confidentiality, and professionalism when handling sensitive information. Ability to adapt to changing priorities and respond effectively to unforeseen challenges. Ability to establish and maintain effective working relationships with individuals at all levels of the organization. Strong attention to detail and commitment to accuracy.
