Position SummaryThe Winery Events Coordinator is responsible for planning, promoting, lead generation, booking and the execution of private winery events across a four winery portfolio and will assist with planning and execution of public winery events. This role delivers exceptional guest experiences while coordinating logistics, vendors, and internal teams to ensure seamless, memorable, and profitable events.Key Responsibilities Sales & Business DevelopmentDevelop and execute event sales strategies to meet or exceed revenue goals through attending bridal shows, networking events, and exposIdentify, attract, and build relationships with event clients, including weddings, corporate groups, conferences, and private gatheringsLead the sales process from inquiry through proposal development and coordination of contractsCultivate repeat business, referrals, and long-term client relationshipsEvent Planning & CoordinationPlan and execute private events including weddings, receptions, corporate events, and private partiesPlan and support public winery events such as tastings, festivals, tours, and special promotionsCreate and manage event timelines, floor plans, logistics, staffing needs, rentalsLead and actively manage all phases of events, including setup, execution, breakdown, and site restorationCoordinate with internal departments (events, marketing, winery leadership) and external vendors (caterers, musicians, florists, rental companies)Maintain the master events calendar and assist with budget tracking to ensure profitability and ROIGuest & Client ExperienceServe as the primary point of contact for clients throughout the planning and event processEnsure events reflect each client’s vision while upholding winery brand standards and hospitality excellenceLead service quality during on-sight events and resolve issues quickly and professionallyProvide guests with information about winery offerings, tours, tastings, and future eventsImplement creative, personalized touches to enhance guest satisfaction and loyaltyMarketing & Promotion SupportCollaborate with the marketing team on event promotion across social media, email, and local channelsAssist with content creation such as; wedding & private event portfolio, brochures, packets, simple graphics, posts, reels, and stories when applicableEnsure events effectively showcase wines, facilities, and scenic winery settingsActively engage in networking events & expos for client recruitmentCompliance & CoordinationEnsure events comply with local laws, safety standards, and liquor licensing requirements by collaborating with Director of Operations and team supportCollaborate with leadership on budgets, contracts, staffing needs, and operational planningQualifications & Experience & Skills ExperienceMinimum 2 years of wedding and/or corporate event management experienceBackground in hospitality, venue coordination, or event planningCommunicationStrong sales, customer service, organizational, and communication skillsAbility to manage multiple events and deadlines in a fast-paced environmentExcellent verbal, written skills for client and team correspondenceLeadership & OrganizationComfort and confidence in collaborating event teamsStrong problem-solving skills and attention to detailRequires a self‑driven individual who thrives working independently and enjoys engaging with othersTechnical SkillsProficiency in MS Office, experience with CRM/POS, and event planning systems(e.g., Planning Pod, Party Planner, and Square)Cash handling and basic financial, budgeting and tracking experienceWine industry knowledge advantageous, not requiredWork Schedule & LocationThis is an on-site position reporting to: Director of OperationsNot eligible for remote or hybrid workSchedule includes weekends, evenings, and holidays as needed to support events#J-18808-Ljbffr
