Events Coordinator 4.3 4.3 out of 5 stars Position: Events Coordinator Classification: Full Time / Exempt Reports To: Executive Vice President, Membership, Events & MarComm Department: Marketing Objective The Events Coordinator plays a central role in assisting with planning, executing and evaluating high-impact Chamber events that advance strategic priorities, generate revenue and strengthen member engagement. Working alongside a team of Events Coordinators and reporting directly to the Executive Vice President, this role co-manages event logistics, ticketing, data reporting, sponsorship coordination and on-site execution. The ideal candidate thrives in a fast-paced environment, demonstrates strong ownership of financial and registration processes and is highly proficient in Microsoft Excel and data systems. Essential Functions & Responsibilities Event Planning & Execution Help manage and/or support the full lifecycle of assigned Chamber events from planning through post-event reporting Develop and maintain detailed event timelines, production schedules and logistics plans Coordinate vendors, venues, catering, AV and other service providers Create event layouts, seating schematics and run-of-show documents Oversee on-site event execution, including set-up and tear-down Assist with signature events, including the Annual Meeting, ATHENA Award Dinner and other major programs Stay current on industry trends and emerging event technologies Ticketing, Revenue & Data Management Administer ticket sales and registration processes with strong emphasis on accuracy and customer service Manage attendee data, seating assignments and sponsorship fulfillment tracking Generate and distribute invoices, revenue reports, attendee rosters and name badges Track and reconcile event income and expenses to support budget adherence Maintain accurate event inventory and expense documentation Support sponsorship renewals and assist in developing new sponsorship opportunities Produce post-event performance reports including attendance, revenue and engagement metrics Microsoft Excel & CRM Systems Proficiency This position requires advanced comfort with Microsoft products, as well as experience with CRM platforms and ticketing systems. Candidates should demonstrate familiarity with: Excel for creating and maintaining spreadsheets, reconciling revenue, tracking attendance and managing budgets CRM systems for managing contacts, event registrations and sponsorship data Online ticketing and event management platforms Data imports, exports and reporting functions Maintaining clean, accurate records within database systems Member & Customer Service Provide prompt, professional assistance to registrants, sponsors and members Address sensitive inquiries or complaints with discretion and solution-oriented communication Collaborate with internal teams including Sales, Marketing and Administration Coordinate ribbon cutting logistics, including communication, scheduling and CRM updates Education & Experience Bachelor's degree in business administration, hospitality, marketing or related field preferred Minimum three to five years of experience in event coordination, office administration, sales or similar environment Demonstrated experience managing budgets, ticketing systems or revenue tracking Qualifications & Competencies Advanced proficiency in Microsoft Excel and experience using CRM and ticketing platforms preferred Strong working knowledge of Microsoft Word and Outlook High attention to detail and strong organizational skills Ability to manage multiple projects simultaneously Strong written and verbal communication skills Professional demeanor and strong interpersonal skills Ability to work independently while contributing to a collaborative team Comfort working with financial data and maintaining consistent accounting processes Physical & Scheduling Requirements Availability for early morning and evening events Occasional regional travel and limited overnight stays Ability to lift 25-30 pounds and assist with event set-up and tear-down Ability to stand, walk, climb stairs, stoop or kneel as required during events Job Type: Full-time Pay: $50,000.00 - $60,000.00 per year Benefits: 401(k) matching Dental insurance Flexible schedule Health insurance Life insurance Paid time off Vision insurance Work Location: In person
