We are seeking an enthusiastic and service-driven professional who is passionate about hospitality and creating exceptional experiences for our members and guests.

Position Summary

The Director of Events is responsible for the planning, coordination, and execution of all club-sponsored and private events. This role ensures seamless operations, high-quality service delivery, and strong financial performance while maintaining a superior member experience.

Key Responsibilities

Event Planning & Execution

· Manage all aspects of event planning for club functions and private events, including weddings, banquets, meetings, and social gatherings

· Develop, maintain, and oversee all Banquet Event Orders (BEOs) and contracts

· Lead weekly BEO meetings to ensure alignment across departments

· Coordinate event logistics including timelines, room setups, and service requirements

· Create and distribute detailed room diagrams for event setups

· Oversee event setup and execution; ensure all details meet established standards

· Remain on-site during events to manage operations and address issues as they arise

· Arrange audiovisual (AV) needs, décor, entertainment, and other special requests

· Conduct post-event evaluations, follow-up, and billing

Member & Guest Relations

· Collaborate directly with members to plan and customize events

· Provide club tours and actively promote event facilities and services

· Respond promptly and professionally to inquiries, concerns, and feedback

· Proactively identify and resolve service challenges to enhance the guest experience

Team Collaboration & Leadership

· Partner with the Assistant General Manager and Executive Chef to develop menus, pricing, and event details

· Communicate event requirements clearly to culinary, service, and setup teams

· Review staffing levels to ensure appropriate coverage and service quality

· Support training and professional development of service staff

· Prepare post-event reports to evaluate outcomes and identify areas for improvement

· Serve as Manager on Duty when required, including one weekly closing shift

· Attend management, staff, and monthly House Committee meetings

Vendor & Operations Management

· Establish and maintain relationships with external vendors

· Negotiate pricing and service agreements to enhance event offerings

· Coordinate vendor logistics for private events

· Secure necessary permits and ensure compliance with applicable regulations

· Ensure adherence to health and safety standards

Financial Management & Strategic Planning

· Assist in the development and management of catering and event budgets

· Review financial reports and take corrective action to meet budget goals

· Monitor event profitability and return on investment (ROI)

· Identify trends and introduce innovative ideas to enhance event programming

Qualifications & Skills

· Bachelor’s degree in Event Management, or a related field or 3–5 years of relevant experience

· Proven ability to plan and execute large-scale events

· Exceptional organizational, communication, and interpersonal skills

· Strong problem-solving and decision-making abilities

· High level of creativity and attention to detail

· Proficiency in Microsoft Office Suite and event management software (Salesforce Preferred)

· Ability to work flexible hours, including evenings, weekends, and holidays

· Experience with budgeting and financial management

· Knowledge of health and safety regulations
