Project Lead, Meeting Services
Join our dynamic team as an Event Management Specialist, where you will play a key role in delivering exceptional international events for the pharmaceutical industry. This full-time position offers competitive salary, annual bonus, and valuable benefits. We require 3+ years of experience managing pharmaceutical events, and familiarity with Cvent is a plus.
Your responsibilities will involve organizing and managing meeting logistics to ensure flawless planning, compliant execution, and unforgettable experiences for all stakeholders. This role spans from the initial planning stages, through execution, and post-event follow-up. Domestic and international travel is a requirement.

Deep understanding of service offerings and operational processes Ability to work independently within a team to meet project objectives Capable of providing support for Senior Specialists Participate in project planning meetings Stay updated on industry standards, SOPs, and supplier information Knowledgeable about global meeting venues Collaborate with managers to troubleshooting technical and process-related issues Expertise in virtual meeting management platforms Good understanding of online registration tools Client Relationship Management
Manage client expectations proactively and deliver on commitments Assertively handle project scope changes Attend client meetings to discuss operational matters as necessary Provide timely status updates to clients Identify and address complex technical and process challenges Anticipate project needs and develop solutions preemptively Ensure high-quality delivery that leads to client satisfaction and potential referrals Be alert for opportunities for future business or project scope changes Maintain strict confidentiality of information Project Execution and Success
Collaborate closely with colleagues to resolve conflicts during project management Demonstrate efficiency in completing tasks, meeting deadlines, and achieving objectives Seek opportunities for improving project efficiencies and outcomes Oversee delegate travel and attendance at international conferences Utilize expertise to recommend venues and project solutions Conduct site visits to enhance meeting success Adhere to internal and external SOPs and guidelines Ensure quality control regarding compliance with pharmaceutical industry standards Manage on-site meeting logistics Maintain clear and timely communication with suppliers Guide project team members in technical or process areas Financial Management
Gather detailed scoping information for each project Ensure budget accuracy and manage revisions Conduct budget reconciliations and record changes Review profitability analyses Ensure timely processing of deposits and invoices Adhere to financial compliance procedures for delivery Monitor reconciliation timelines to meet client deadlines Timely completion of timesheets and expense claims Metrics for Success
