Event Manager - Banquet

Merchants Exchange Productions (MXP) is seeking a part-time professional day of event manager to work private events at our venues in downtown San Francisco. MXP is a premium, full-service hospitality company responsible for three of San Francisco’s most iconic venues — the Julia Morgan Ballroom, Merchants Exchange Club and Banking Hall. MXP is a fully-verticalized event company, operating all elements in-house including culinary, front of house service, bar, audio/visual, event programming, and event sales.

The Event Manager is responsible for managing all day of event execution and expectations for various types of events including but not limited to corporate, nonprofit, weddings and social events. .

ESSENTIAL FUNCTIONS

Oversee the complete day of execution of events as well as overall service aspects throughout
Thoroughly review all event materials and documents prior to arriving on site; asking questions prior to arriving at the venue
Manage the FOH team day of - review event, expectations, all job responsibilities and assignments
Conduct full pre-shift meeting with the FOH team
Ensure all team members for the event are on time, signed in and take appropriate breaks
Coordinate with Culinary Team on timing and execution of service
Assist with all front of the house set-up as necessary: registration, packages, signage, stanchions, screens, easels, coat check, etc.
Oversee vendor load-in/load-out, directing vendors and fielding any questions
Ensure vendors are following all protocols of the building while on property
Manage the event timeline: continually connect with client, vendors and the culinary team to keep the event on track. Consistently follow-up/check-in with all leads throughout event.
Ensure service standards are demonstrated by all team members on a consistent basis
Uphold dress code for all FOH team members (servers, bartenders, bar backs, coat check)
Manage and direct FOH team members throughout event on proper set ups, assigning tasks, breaks, ensuring proper execution, proper service and safety techniques, etc.
Ongoing training with Production and FOH teams related to service, standards, dress code, food and beverage knowledge, etc.
Ensuring FOH is working efficiently and maintaining productivity levels throughout shift
Work with team members to report low inventory items and breakage immediately
Alert the Production management team regarding building maintenance issues, cleaning needs, necessary repairs and/or emergency situations
Manage strike and cleanup of venue and kitchen areas after event has concluded, securing client and venue items as necessary
Final walkthrough of venue at the end of the event ensuring all team members, guests, clients and vendors have left, all items and rooms secure, etc.

QUALIFICATIONS & EXPERIENCE

Minimum 2 year’s comparable experience in an event company, high end hotel, private club, fine dining restaurant, etc.
Versed in the execution of a variety of events – corporate, non-profit, weddings and social events
Knowledge of various types of service including basic fundamentals of service standards and tabletop set up
Basic food and beverage knowledge - terminology, techniques, pronunciations, regions, varietals, etc.
Effectively lead and train team members in positive and productive manner
Excellent English written and verbal skills
High level of professionalism and positive attitude
Professional appearance and attire
Attention to detail and highly organized
Ability to work independently as well as part of a team
Must be a proven self-starter capable of finding solutions with minimal supervision
Ability to multitask and adapt
Pleasant, calm demeanor in all situations
Available to work a flexible schedule that will include days, nights, weekends and holidays as dictated by the events schedule and seasonal changes
Hours include early morning and late evening.
Computer proficiency in MS Office – word, excel, outlook
Have the stamina to work up to 10+ hours, standing and/or walking a fair amount for the duration of the event
Ability to bend, stoop, lift up p to 25lbs, reach overhead and perform repetitive motion
May involve walking between venues and climbing stairs between floors.
Current Food Handlers Card as well as Responsible Beverage Service (RBS) Training certification
