Event Marketing Coordinator

Event Design and Execution • Develops and manages a comprehensive events calendar commensurate with City Year Tulsa's benchmarks and milestones throughout the year, including national and local events and external partnerships • Events are both internal and external: Staff Retreats, Graduation, Civic Engagement, Fundraising • Engages site and generates excitement around events by serving as main point of information for staff, volunteer committees, attendees, vendors, and site leadership • Collaborates with the fellow development team members, site leadership, and volunteers to articulate clear goals for each event • Secures necessary vendors, obtain quotes, secure contracts, and monitor vendor performance to ensure City Year receives exceptional service and value • Develops staffing plans and train AmeriCorps members, staff, and volunteers on roles as necessary • Creates event budgets and track expenses • Documents and maintains record of written materials and documents for future reference • Create donor collateral as needed (impact reports, school newsletters, event invitations, VP folder inserts, enews, others) in a timely manner along with providing recommendations on marketing materials • Serve as a liaison to the City Year National Marketing and Communications team to maximize our access to centralized resources and help direct the production of future materials • Participate in Organizational Initiatives • Participate in corps member recruitment interviews and other duties as assigned by supervisor Skills and Qualifications • Commitment to Diversity, Equity & Inclusion, and an openness to reflect periodically, sometimes alongside colleagues of similar or various backgrounds • Adaptivity in a diverse and dynamic environment with changing requirements and priorities • Track record in developing and delivering successful events, from concept to execution, that contributed to the achievement of set goals and mission of the organization • Ability to work independently and collaboratively, managing externally, up, down, and across the organization • Production experience including vendor management (negotiation, deliverables, budget, etc. a plus • Knowledge of registration and communications best practices a plus • Experience with information systems and databases, and ability to ensure all event data (attendees, volunteers, media, etc.) Schools that partner with City Year are up to two to three times more likely to improve in English and math assessments, and the more time students spend with AmeriCorps members, the more they improve on social, emotional and academic skills— skills that help students thrive in school and contribute to their community.
