Event Planner Assistant

JOB SUMMARY: The Small Business Expo is looking for a smart, hands-on, driven and hardworking Event Planner Assistant to support our Expo’s events through coordination, management and production of events from start to finish. Based in our Fort Lauderdale, Florida corporate headquarters, you will frequently travel to our trade shows around the US and will report dually to the Director of Production and Production Manager. With headquarters in Florida, Small Business Expo produces events in 45 major markets across the US and is growing very fast. Partnering with onsite team and temporary staff, ensure seamless of set up, execution, and tear down of live events, including day-of logistics and troubleshooting Manage project communications and problem solving Assist with training and overall people management of temporary staff as needed for the execution of each show Coordinate with labor unions and labor teams to successfully set up and tear down events. Assist AV & IT Team with set up/tear down Source, establish and manage relationships with key vendors providing for the best available resources within budget and overall project success Procure permits, civic documents and all other permits/paperwork for events Maintain complete and updated project files & check lists with all project details and event information Budget tracking with an eye toward reducing expenses Coming up with new ideas and ways to streamline and make the department more efficient Travel to 15+ major cities per year nationally, Up to 40% travel per year QUALIFICATIONS: 2+ years of related experience in production and events Microsoft Office and Google Suite proficient Extrovert - great working with other people, curious, and thrives on new challenges (team-oriented) Excellent verbal & written communication skills Experience managing budgets Attention to detail & and ability to multi-task Touring / Road experience a plus AV Experience a plus: Knowledge of professional audio and video setups for presentations.
