The open Event Planner role at Utopia Experience is far beyond traditional event coordination. This is a full-time position based in St. Louis, with travel required across the United States and increasingly internationally. The role involves the complete ownership of the event planning lifecycle, from strategy to execution and growth. The planner will handle six- and seven-figure budgets, often ranging from $100,000 to over $1 million, managing events generally hosting 500 to 2,000 attendees. This requires a unique combination of financial discipline, strategic vision, logistical expertise, and interpersonal skills.
Daily responsibilities include negotiating hotel contracts to protect company margins while satisfying finance teams, designing partnership-oriented sponsorship packages, building registration pages that attendees find intuitive and easy to use, and managing vendor relationships, including audiovisual providers. The planner also works hands-on to create signage, manage complex event logistics such as multi-track conferences and layered run-of-shows, and ensure seamless on-site execution by traveling to event locations.
