Event Planner/Coordinator

Job Summary
The Event Planner is responsible for coordinating, planning, and executing high-quality weekly and monthly events for 100+ attendees on behalf of a high profile non-profit in Tulsa, OK. This role ensures seamless event logistics, exceptional guest experiences, and alignment with the mission to support and connect the local business community. This is a 12 week assignment with the possibility for longer if needed.

Key Responsibilities
• Plan, coordinate, and execute weekly and monthly events, including networking events, luncheons, workshops, and large-scale business functions
• Manage all event logistics including venue selection, vendor coordination, catering, audiovisual needs, and event setup/teardown
• Develop event timelines, run-of-show documents, and detailed checklists to ensure smooth execution
• Serve as the primary point of contact for vendors, sponsors, and event partners
• Coordinate registration processes, guest lists, and attendee communications
• Oversee on-site event management for groups of 100+ guests, ensuring a professional and engaging experience
• Monitor event budgets, track expenses, and ensure cost-effective planning
• Collaborate with internal teams on marketing, promotions, and sponsorship opportunities
• Evaluate event success through feedback and reporting, making recommendations for improvements
• Ensure compliance with all safety, accessibility, and organizational standards

Qualifications
• Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or a related field (preferred)
• 2–4+ years of experience in event planning or coordination, preferably with large-scale events (100+ attendees)
• Strong organizational and multitasking skills with high attention to detail
• Excellent communication and interpersonal skills
• Ability to manage multiple events simultaneously in a fast-paced environment
• Proficiency in event management software and Microsoft Office Suite
• Experience working with vendors, contracts, and budgets

Preferred Skills
• Experience working with business organizations, chambers of commerce, or nonprofit associations
• Strong problem-solving abilities and adaptability under pressure
• Knowledge of the Tulsa business community and local venues
• Marketing or sponsorship coordination experience

Work Environment
• Primarily office-based with frequent on-site event coordination
• Ability to stand for extended periods and lift event materials as needed

Hours
• Monday-Thursday 8am-5pm
• 12 week assignment with the possibility of longer

Pay
• $30-35 per hour to start, depending on experinece
