Event Planner/Coordinator

Responsibilities

Collaborate with clients and stakeholders to understand their vision, goals, and requirements for each event.
Develop comprehensive event plans, including budgeting, scheduling, vendor negotiations, and logistics coordination.
Source and negotiate contracts with venues, caterers, entertainment providers, decorators, and other vendors to secure the best value and quality.
Coordinate all event details such as catering arrangements, venue setup, audiovisual needs, guest accommodations, and transportation logistics.
Manage event marketing efforts to promote events effectively through various channels while upselling additional services or packages.
Oversee on-site event execution, ensuring all elements are delivered as planned while providing exceptional guest services.
Handle budgeting processes meticulously, tracking expenses and optimizing resources to stay within financial parameters.
Maintain clear communication with clients, vendors, and team members throughout the planning process to ensure alignment and timely updates.
Conduct post-event evaluations to gather feedback for continuous improvement and success measurement.

Qualifications

Proven experience in event planning or coordination within hospitality, restaurant, hotel, or fundraising environments.
Strong negotiation skills with the ability to secure favorable contracts and vendor agreements.
Excellent marketing skills with a focus on event marketing strategies that drive attendance and engagement.
Effective time management skills to handle multiple projects simultaneously under tight deadlines.
Solid organizational skills with keen attention to detail in managing complex logistics.
Knowledge of contracts, budgeting tools, and hospitality industry standards including hotel or restaurant experience preferred.
Ability to communicate clearly across diverse teams and stakeholders while maintaining a positive attitude.
