Market My Market is seeking a detail-oriented and resourceful Event Planning Assistant to support our Business Development team with event coordination and planning across the United States. Responsibilities Event Planning & Coordination • Plan and coordinate business development events including plated dinners for approximately 30 people across various US cities • Source and secure appropriate venues, restaurants, and event locations nationwide • Coordinate menus, dietary restrictions, and special requests with venue partners • Manage event budgets and track expenses to ensure cost-effective execution • Create and maintain detailed event timelines and logistics plans Attendee Management • Monitor and track event attendees, RSVPs, and guest lists • Coordinate invitation design, distribution, and follow-up communications • Manage attendee communications leading up to and following events • Handle last-minute changes, cancellations, and special accommodations Travel & Logistics Support • Coordinate travel arrangements for team members attending events • Research and book accommodations, transportation, and venue logistics • Provide on-site event support and troubleshooting as needed • Maintain relationships with preferred vendors and venues in key markets Conference & Trade Show Support • Assist with conference planning, booth coordination, and event logistics • Support team members at industry conferences and networking events • Coordinate shipping of materials, promotional items, and event supplies • Manage pre-event and post-event communications and follow-up Administrative Support • Maintain detailed records of all events, vendors, and associated costs • Prepare post-event reports and analysis for business development team • Research new venues and opportunities in target markets • Support other business development initiatives as needed Qualifications Preferred Qualifications: • Experience with corporate events, client entertainment, or B2B event planning • Familiarity with major US markets and venue options • Knowledge of CRM systems (HubSpot preferred) • Background in hospitality, marketing, or business development support What We Offer • Pay: $20/hour for 20-25 hours per week • Flexible Schedule: Remote work with flexible hours to accommodate event coordination across time zones • Professional Growth: Opportunity to work with a fast-growing digital marketing agency • Meaningful Impact: Direct contribution to business development success and client relationship building • Dynamic Environment: Exposure to various markets and industries across the country About Market My Market The right person for this role will be on track for endless opportunities, and will enjoy the transparency of knowing their work is having a direct impact on our business development success and client relationships.
