The Trade Show & Event Planning Specialist position is integral to Wolters Kluwer's event management team, supporting senior Event and Attendee Managers in the seamless delivery of both company-hosted internal events and client-facing external events. The role primarily involves operational coordination, administrative execution, and logistical support to ensure an excellent attendee experience and adherence to company standards. This position also provides vital support for trade shows, coordinating multiple facets such as vendor onboarding, contract processing, payment logistics, and on-site event operations. Acting under moderate guidance, the Trade Show & Event Planning Specialist will take ownership as the lead planner for smaller Tier 3 events while contributing to larger events alongside senior team members. The role demands strong multitasking abilities, attention to detail, effective communication, and a proactive approach to problem-solving within a fast-paced environment.

Regular travel is a significant requirement for this job, with an expected commitment of approximately 50% travel to various event locations to provide hands-on support during event execution phases. The Specialist will work closely with vendors, internal teams, and event partners to ensure all logistical components, including transportation, shipping, setup, tear-down, and registration processes, operate smoothly. Additionally, the role supports budget tracking and post-event evaluations to maintain operational efficiency and continuous improvement of the events portfolio.

Minimum of 5 years of experience in event planning, event operations, or event coordination roles
Proficiency with Cvent and other event management tools
Experience supporting internal and external client-facing events and trade shows
Ability to research, source, and coordinate with vendors
Strong organizational skills with attention to detail
Excellent communication skills both written and verbal
Willingness and ability to travel approximately 50 percent of the time
Ability to manage budgets and track financial documentation
