Job Overview: Joe Mineo Creative, an event design studio, is looking for a hard-working professional to work as an event producer within the office with duties as followed, but not limited to: Joe Mineo Creative, an event design studio, is looking for a hard-working professional to work as an event producer within the office with duties as followed, but not limited to: Co-manage a calendar of 25+ events yearly with other Event Producers including social events, weddings, corporate events, birthday, and mitzvahsAct as the liaison between the Creative Director and client relationshipsAct as the liaison between Creative Director, prep and production team and floral team with all updates and additions/ cancellations to each eventAct as the liaison between the clients, vendors and the graphic designer regarding any custom invitations, menus, dancefloor wraps, escort boards and/or additional renderingsManage each event worksheet including managing all changes/updates and then communicating all changes to the prep and production teamsPrepare and modify contracts through online contract systemsKeeping track of event finances including payment requests, invoicing, and recording to the accountant departmentAssist with the scheduling of day-to-day business operations including scheduling client meetings, walkthrough, vendor meetings, and any additional appointments between Creative Director and team on the master calendarCreate and edit layouts using a custom layout programOrganize vendor relationships including ordering event rentals, coordinating delivery schedules, and managing ongoing relationshipsAttend all meeting with clients including storyboards, presentations, proto-types and walkthroughsIntercept any issues that may arise for the event and communicate those with the clients and prep/production teamDevelop a master logistics schedule for the entire event including working with venues, clients and vendorsServe as the onsite producer for select events, acting as the liaison between clients, venues, and rental partners while overseeing vendor coordination and ensuring seamless event executionAnswering a multiple phone line systemProvide consulting advice and etiquette to clientsBooking of flights and conference trips as neededRequirements: 2+ years of experience in event management or hospitalityBachelor’s DegreeExcellent computer skills with proficiency in Microsoft Office Suite, including PowerPoint, Excel and WordProven experience in managing multiple events successfullyExcellent organization skills and multitasking abilitiesExperience in customer service and excellent client relations is preferredExcellent verbal and written communication skillsAnalytical thinker and ability to adapt to a fast-moving industry and companyAbility to work occasional weekends while on-siteExperience in working with a luxury brand is a plus, but not requiredPlease note this is NOT an event planning position.
