Event Project Manager

Job Summary

We are seeking a dynamic and detail-oriented Event Project Manager to lead the planning, coordination, and execution of a diverse range of events. You will play a critical role in moving projects forward and ensuring nothing falls through the cracks. You’ll track progress across multiple projects at varying stages, keeping a close eye on timelines, deliverables, and dependencies. In this energetic role, you will oversee all aspects of event management from inception to completion, ensuring seamless experiences that exceed client expectations. Acting as a liaison between clients and internal teams, you'll prepare for and participate in client meetings, capturing next steps, and ensuring action items are completed.

Responsibilities

Coordinate details of managed events, from invitations to load out, to ensure accuracy, professionalism and consistent brand presentation
Contract and liaise with vendors and coordinate logistics in advance
Develop comprehensive event marketing strategies to promote events effectively across various channels.
Manage budgets meticulously, tracking expenses, maximizing value and cost control measures.
Monitor the progress of multiple projects across various stages, updating timelines, deliverables, and task owners regularly.
Build and maintain project trackers and status documents, ensuring all information is accurate and current
Lead client-facing meetings to take notes, track action items, and follow up with internal teams to ensure execution.
Assist with meeting preparation (agendas, reports, presentations, status updates).
Provide seamless continuity between what’s discussed with clients and what’s executed internally.
Understanding the client’s brand and targeted event outcome; working within established budgets and timelines to achieve 100% client satisfaction
Vendor manage website creation and maintenance for clients
Create scripts and run of show documents related to event programs
Build on screen graphics and event marketing materials as necessary
Oversee all event operations on the day of the event, including guest services, registration, and troubleshooting any issues that arise.
Maintain clear communication with clients and team members throughout the planning process to ensure alignment on objectives and expectations.
Ensure that there are ample trained volunteers, day of staff, committee members, etc.
Maintain accurate and timely organization of vendors, participants and committee lists

Skills

Proven experience in event marketing and event planning within hospitality or related industries such as restaurants or hotels.
Excellent customer service skills with a focus on guest satisfaction and hospitality standards.
Exceptional organizational skills to manage multiple events simultaneously while adhering to deadlines.
Effective time management abilities to prioritize tasks efficiently in a fast-paced environment.
Strong communication skills for liaising with clients, vendors, and internal teams seamlessly.
Good IT skills
Software familiarity with Microsoft Suite, Adobe, and Google Suite: including Word, Excel, PowerPoint and Microsoft
Attention to detail with an ability to work autonomously and with appropriate reference to more senior colleagues
Flexible Hours and the ability to work occasional long hours including nights and weekends

Requirements

A college degree
Minimum 2 years coordinating multiple projects concurrently on a consistent basis
Exceptional organizational and administrative skills
A valid U.S. driver’s license and valid vehicle insurance

Pay: $65,000.00 - $75,000.00 per year
