We are seeking an experienced Event Specialist to own the planning, coordination, and execution of professional events supporting a growing financial services organization. Events will include client-facing, prospect-facing, and internal programs, with both in-person and virtual/hybrid formats. Responsibilities Manage the full event lifecycle from initial planning through execution and closeout.Develop and manage event timelines, budgets, agendas, task lists, and deliverables.Coordinate in-person, virtual, and hybrid events ranging from approximately 50–500 attendees.Manage venue selection, vendor relationships, contract negotiations, catering, AV, room setup, signage, shipping, registration, and speaker needs.Serve as the on-site lead for events and handle real-time troubleshooting.Coordinate registration pages, attendee lists, invitations, calendar holds, reminders, and RSVP tracking.Partner closely with marketing, sales leadership, compliance, regional teams, presenters, and other internal stakeholders.Ensure event materials and communications move through required review and approval processes.Maintain event documentation, including budgets, invoices, attendee information, vendor contacts, and event recaps.Assist with post-event reporting, follow-up communications, KPI tracking, and ROI reporting.Qualifications 5+ years of event management, event planning, meeting planning, hospitality, field operations, or related experience with significant event responsibility.Proven ability to independently manage professional, corporate, client-facing, or large-scale business events from concept through completion.Strong vendor, venue, budgeting, AV, catering, registration, and run-of-show experience.Excellent organizational, project management, communication, and problem-solving skills.Ability to manage multiple events and deadlines simultaneously.Professional presence and ability to work effectively with senior leadership, clients, vendors, sales teams, marketing, and other stakeholders.Microsoft Office proficiency and experience with Canva.Familiarity with event registration platforms and virtual event tools.Experience within financial services, insurance, wealth management, retirement, benefits consulting, or another regulated industry is preferred.Bachelor’s degree preferred; equivalent professional experience may be considered.Ability to travel up to 50%, including occasional overnight travel, early mornings, evenings, and extended event days.
