Founded in 1952, RubinBrown LLP is one of the nation’s leading accounting and professional consulting firms. RubinBrown is seeking an Events Coordinator to manage the planning and coordination of firm events, internally and externally, as well as assist with various daily functions in the marketing group across digital media, branding, and communications. In this fast paced environment, the Events Coordinator will be primarily responsible for all internal team member events, external client seminars/webinars, sponsorship events, and various other event or gatherings that take place throughout the year in order achieve the firm’s strategic goals. • Promotion and invitation creation and distribution • Registration/guest list management • Materials and presentation oversight for appropriate branding • Scheduling on presenters’/speakers’ calendars • Day-of event coordinator (main point of contact for all vendors, coordination of team, vendors, food and beverage, audio/visual, timeline/itinerary) • Post-event evaluation/surveying in coordination with firm leadership • Webinar/Seminars • Zoom webinar host and setup • Coordinate and explain responsibilities of presenters/speakers, as needed • Materials and presentation oversight for appropriate branding • Scheduling on presenters’/speakers’ calendars • Manage events page on website and firm calendar • Post-event evaluation/surveying in coordination with firm leadership • Sponsorships & Other Duties • Oversee firm sponsorship process, and ensure firm receives maximum value from paid sponsorship opportunities (including appropriate branding, coordination of sponsorship advertisements, ensuring Firm presence is covered at all sponsorship events, and more as necessary) • Manage branded promotional materials inventory (ordering, distributing, etc.) Qualifications & Skills • Graduate with a degree in entertainment management, public relations, business, marketing, or communications (1-2 years of experience, preferred) • Prior experience in event management role, preferred • Understanding of the event planning process • Experience in event coordination and execution • Proficient in Microsoft Office including Word and PowerPoint • Ability to multitask and be a self-starter • Ability to take direction and absorb information quickly • Excellent verbal and written communication skills • Ability to engage with firm leaders in a professional manner • Understanding of design and HTML principles, a plus • Detail-oriented • The typical office hours are 8:00 a.m. to 5:00 p.m. – Hybrid schedule with in office and remote days • This role is full-time, 40 hours a week
