Role Overview
Nashville Creative Spaces is seeking a highly hospitable, organized, and proactive Event
Coordinator & Venue Concierge to serve as the primary on-site contact for all clients hosting
events at our venue.
This person will be the face of Nashville Creative Spaces during live events, ensuring every guest,
client, and partner experiences a warm, seamless, and well-executed event.
This role blends event coordination, hospitality management, venue operations, and client
experience. The Event Coordinator will manage everything from event setup and client support to
venue readiness, hospitality touches, and post-event follow-up.
This is a hands-on, in-person role that requires someone who thrives in a dynamic environment,
enjoys serving people, and has a strong eye for detail.
The ideal candidate has 3+ years of experience in hospitality, events, hotels, or venue operations
and takes pride in delivering an exceptional experience for every guest.
Key Responsibilities
1. Event Coordination & Client Experience
Serve as the primary on-site point of contact for all venue clients and event hosts.
Responsibilities include:
• Greeting and welcoming clients and guests upon arrival
• Serving as the on-site liaison throughout events
• Ensuring the event timeline and logistics run smoothly
• Supporting presenters, speakers, and hosts as needed
• Managing last-minute requests or troubleshooting issues
• Providing hospitality support to ensure a high-quality guest experience
• Handling customer service concerns professionally and promptly
This role ensures every client feels supported, cared for, and confident while hosting their event.
This role would be responsible for pre-event calls and coordination with clients as well as
collecting post event surveys, feedback, and testimonials as well as anticipated re-bookings.
2. Event Setup, Execution & Breakdown
Ensure the venue is fully prepared before events and reset afterward.Responsibilities include:
• Setting up event spaces according to client specifications
• Preparing meeting rooms, seating arrangements, and presentation areas
• Coordinating signage and guest flow throughout the building
• Managing parking logistics and signage
• Ensuring coffee, beverages, snacks, and hospitality stations are prepared
• Restocking supplies throughout events
• Monitoring event flow and adjusting setups as needed
• Cleaning up and resetting the space after events
This role is responsible for maintaining a polished, professional venue environment at all times,
including Vendor Relations and Management. Vendors include caterers, car services providers,
maintenance providers, landscapers, etc.
3. Venue Operations & Facility Readiness
Help maintain the daily operational readiness of Nashville Creative Spaces.
Responsibilities include:
• Opening and closing the building when events and/or tours are scheduled
• Restocking groceries, beverages, coffee, snacks, and supplies
• Maintaining cleanliness in kitchen, event areas, and hospitality stations
• Refreshing and restocking bathrooms during live events
• Washing dishes and maintaining kitchen cleanliness
• Managing event supplies and inventory levels
• Coordinating with vendors or maintenance partners when necessary
• Ensuring the venue always presents a clean, welcoming, and professional environment
4. Hospitality & Client Experience Touchpoints
Help create memorable experiences for clients through thoughtful hospitality. Experiences include
pop up stands, welcome signage, flowers, thoughtful logo placement, custom snacks/drinks, fresh
seasonal decor, handwritten thank you cards, etc.
Responsibilities include:
• Preparing coffee, snacks, beverages, and hospitality stations
• Setting up welcome experiences for clients and guests
• Supporting special touches such as welcome signage or hospitality moments
• Maintaining an organized and well-stocked hospitality area
• Ensuring the venue atmosphere feels warm, polished, and inviting
5. Sales & Marketing Support
Support the growth of Nashville Creative Spaces through client engagement and venue
promotion. This will include social media and marketing support to help ensure all digital
platforms are updated and refreshed on a regular (weekly) basis to help encourage tours and
bookings.
Responsibilities include:
• Assisting with venue tours alongside the Sales & Marketing Manager
• Helping prepare the space prior to sales tours
• Identifying opportunities for referrals and repeat bookings
• Collecting feedback from clients after tours and events
• Helping capture client testimonials
• Coordinating photography or videography during events
• Helping document events to support marketing content
6. Lead Generation & Client Follow-Up
Support venue growth by helping identify and capture potential leads.
Responsibilities include:
• Asking satisfied clients for testimonials and referrals
• Noting future event opportunities with clients
• Helping gather feedback from event hosts
• Supporting follow-up communication after events
• Documenting successful events for promotional purposes
Qualifications
Required:
• 3+ years experience in hospitality, events, hotels, or venue operations
• Exceptional customer service and hospitality mindset
• Strong organization and attention to detail
• Ability to remain calm and solutions-focused during live events
• Strong communication skills
• Ability to multitask and adapt in a fast-paced environment
• Comfortable with hands-on work (setup, restocking, cleaning, event prep)
Preferred:
• Event coordination or venue experience
• Hospitality or hotel experience• Experience supporting corporate events or meetings
