Job Overview We are seeking a detail-oriented and highly organized Events & Meeting Coordinator to lead the planning, execution, and management of a diverse range of events, meetings, and groups. Duties Coordinate all aspects of event planning, from initial concept development to final execution, ensuring seamless delivery of meetings, conferences, banquets, and special events Negotiate contracts with vendors, venues, caterers, and suppliers to secure the best terms and value for the organization Develop comprehensive event marketing strategies to promote events effectively and maximize attendance Manage budgets by tracking expenses and optimizing resources to stay within financial parameters Oversee catering arrangements, including menu selection, dietary requirements, and service standards to ensure guest satisfaction Collaborate with sales teams to upsell event packages and additional services that enhance the overall experience Provide exceptional guest services by addressing inquiries promptly and ensuring all attendee needs are met with professionalism Maintain detailed event/meeting documentation such as rooming lists, contracts, floor plans, schedules, and post-event evaluations Implement time management strategies to handle multiple events simultaneously while adhering to deadlines Proven experience in event/meeting planning, hospitality, or related fields such as restaurant or hotel management with banquet experience preferred Strong negotiation skills with the ability to secure favorable contracts and vendor agreements Knowledge of event/meeting marketing techniques and upselling strategies to boost attendance and revenue Excellent communication skills—both verbal and written—to liaise effectively with clients, vendors, and team members Exceptional organizational skills with keen attention to detail in managing complex logistics Experience in budgeting and financial management for events of varying sizes Familiarity with catering operations, restaurant service standards, or hotel event services is highly desirable Ability to work under pressure while maintaining a positive attitude in fast-paced environments Strong customer service orientation with a passion for creating memorable experiences for guests Your expertise will help craft engaging experiences that elevate our hotel’s reputation while providing rewarding opportunities for professional growth.
