JOB PURPOSE AND REPORTING STRUCTURE: Under the direction of the Director of Events, the Event Operations Coordinator is responsible for coordinating all event logistics for internal and external events. Responsibilities include: • Developing floorplans • Overseeing set-up/tear-down of events • Processing event requests • Maintaining event equipment inventory • On-site event management, including nights and weekends as necessary • Equipment and Furniture Rentals • Assisting in the management of the event scheduling software • Provide excellent customer service and professionalism when interacting with clients, vendors, and internal partners. • Work with the Event Services Manager to ensure the following services are scheduled as needed: • Front of House Staffing • Parking Services • Custodial • Security and Police • Facilitate appropriate communication between clients and other internal service providers including: • Orchestra Operations: • Stage labor • AV and tech support • Marketing: • Ticketing • Print and digital event collateral • Database Management (including managing RSVPs) • Indulge Catering • Menu development • Bar services • Coordinate with outside vendors for: • Load-in requirements • Power requirements • Load-out requirements • Other duties as assigned by the Director of Events 2+ years of experience in event planning; event set-up/tear-down experience is preferred; independently manage multiple tasks and projects and meet deadlines; ability to communicate effectively with colleagues, internally and externally.
