Event Production Planning ManagerThis organization is a market-leading hub focused on advancing technologies and programs that address barriers to greater social, economic, and physical mobility. Position OverviewThe Event Production Planning Manager serves as the critical link between creative vision and operational execution for a wide range of events. This role ensures that events—from large-scale private experiences and corporate conferences to immersive activations—are delivered seamlessly, on schedule, and within budget.

Key ResponsibilitiesPre-Production PlanningDevelop comprehensive production project plans, including master timelines, resource allocation, and critical path milestones.Establish integrated cross-functional teams for each event, ensuring alignment between creative concepts and execution requirements.Partner with creative teams and technical leadership to define production needs (AV, lighting, sound, staging, scenic elements).Conduct site visits to assess venue capabilities and constraints.Develop and manage detailed event production budgets, proactively tracking and communicating cost variances.Secure all required permits, agreements, insurance certificates, and safety documentation.Operational ExcellenceOversee complex timelines, including load-in, setup, rehearsals, show execution, and strike.Manage Run of Show (ROS) documentation and production scripts, ensuring seamless coordination of all technical cues.Ensure adherence to safety standards, labor regulations, and operational best practices.Coordinate logistics for transport, freight, equipment, and materials.Vendor & Stakeholder ManagementLead RFP/RFQ processes in partnership with Purchasing and Finance to source best-in-class vendors (production, catering, security, facilities, talent).Serve as the primary point of contact for internal stakeholders and external partners on production logistics until transition to onsite execution teams.Manage vendor relationships to ensure performance, quality, and contractual compliance.Fiscal ResponsibilityOversee budget forecasting, cost management, and financial tracking across all events.Reconcile production invoices and deliver final financial reporting post-event.Risk MitigationIdentify potential risks, bottlenecks, and dependencies early in the planning process.Develop contingency plans to ensure continuity and event success.Post-Event AnalysisLead post-event debrief sessions with stakeholders and vendors.Ensure venue restoration and document any damages or outstanding issues.Capture insights and lessons learned to support continuous improvement.Required SkillsFinancial Planning and ReportingProgram and Project ManagementExperience managing project managers and cross-functional teamsProficiency in Microsoft Office SuiteExperienceRequired: 5+ years of progressive experience in live event production, including site coordination and technical directionEducationRequired: Bachelor’s DegreeAdditional RequirementsAbility to manage multiple complex events simultaneously in a fast-paced environmentStrong communication, organization, and problem-solving skillsJob Type & Location

This is a Contract position based out of Dearborn, MI.

Pay and BenefitsThe pay range for this position is $45.00 - $45.00/hr.
