Job Type: Full time The Events Planner (TGI) works collaboratively with the Taylor Geospatial Institute leadership team to manage envisioning, preparing for, and executing proceedings and events such as Governing and Research Council meetings, industry and government partnership experiences, conference participation, and TGI conventions, working groups, and webinar events. This position supports the entire TGI team in streamlining and refreshing events and meetings and manage the process from end-to-end. • Develops and manages all aspects of event planning, meets strict deadlines, and stays within budget • Nurtures and builds relationships with vendors, venues, and other industry, government, and academic contacts while crafting and implementing the creative and logistical aspects of all events • Coordinates with internal staff, clients, and vendors to establish the requirements for an event, and serves as liaison to senior executives, government officials, academics, and industry leaders throughout the planning process • Locate resources, visits sites, and leads pre-event meetings to help staff make decisions about event expectations and design • Oversees client experiences from inception through post-event review; manages on-site preparations, production, and event breakdown; ensures consistent, high-level service throughout all phases • Plans and facilitates logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, security, catering, entertainment, transportation, equipment, decor, and marketing materials • Remains current with trends in event planning, design, and production, and proactively identifies and solves operational challenges, and helps manage and maintain the processes to set us up for success in the future • Provides necessary digital assets and some written content to help launch and promote events • Supports and implements special initiatives as assigned by TGI's senior leadership team to elevate the scale and eminence of TGI accomplishments externally and internally • Performs other duties as assigned • Strong interpersonal and communication skills • Excellent organizational skills, including multitasking, time management, and attention to detail • Ability to build and maintain positive business relationships; ability to work effectively within a team, with industry, government, academia, and administrative staff • Ability to handle pressure and make good decisions quickly • Self-starter with ability to work effectively and collegially with little supervision • Ability to work with integrity, professionalism, good judgment, a strong work ethic, and a commitment to service and treating others with respect • Ability to travel, domestic and/or internationally • Ability to create and receive meaningful data through surveys about events • Ability to create virtual and hybrid events with the aid of webinar and other tools
