Job Description: • Executive Assistant Duties: • Provide high-level administrative support to the CEO. This can include: • Manage calendars • Schedule meetings • Handle correspondence regarding meetings including taking meeting minutes and distributing minutes to attendees when requested. • Organize and coordinate personal travel arrangements including booking flights, accommodations and transportation • Serve as liaison between the CEO and internal/external stakeholders, ensuring effective communication and follow-up • Prepare and edit reports, presentations and other documents needed • Event Planning Duties: • Plan, organize, and execute corporate events including two annual conferences and three annual incentive trips • Work with vendors to secure venues, catering and other event services; negotiate contracts and manage budgets • Develop event concepts, coordinate logistics and manage event timelines to ensure successful execution • Specify staff requirements and coordinate their activities • Oversee event setup and breakdown, ensuring all details are handled and the event runs smoothly. Education Requirements and Experience: • Bachelor’s degree • Must have at least 3 years of experience as an Events Planner or Organizer • Dependable • Excellent written and verbal communication skills • Maintains a positive attitude • Professional demeanor and appearance • Maintains confidentiality at all times • Ability to travel routinely (4-5 times per year) • Some sales skills and ability to build productive business relationships
