Executive Event Planner

Our client, a luxury hospitality group known for its world-class service and exclusive venues, is seeking a highly creative and detail-oriented Executive Event Planner to manage bespoke events in Miami, Florida, US . This role requires a passion for creating unforgettable experiences, from high-profile corporate functions and gala dinners to intimate social gatherings. The successful candidate will be responsible for the entire event lifecycle, including conceptualization, planning, budgeting, vendor management, execution, and post-event analysis. Exceptional organizational skills, impeccable taste, and a proactive approach are paramount.

Responsibilities:
Conceptualize, plan, and execute a wide range of high-end events, ensuring seamless delivery and exceptional guest experiences. Develop creative event themes, concepts, and layouts tailored to client needs and brand objectives. Manage all aspects of event logistics, including venue selection, catering, audio-visual, entertainment, décor, transportation, and staffing. Develop and meticulously manage event budgets, ensuring cost-effectiveness and maximum return on investment. Source, negotiate with, and manage relationships with a diverse range of vendors and suppliers. Create detailed event timelines and production schedules, ensuring all deadlines are met. Oversee on-site event execution, troubleshooting any issues that arise to ensure flawless delivery. Liaise with clients throughout the planning process, providing regular updates and managing expectations. Develop and implement innovative marketing and promotional strategies for events as required. Ensure compliance with all health, safety, and licensing regulations. Conduct post-event evaluations, gathering feedback and preparing comprehensive reports. Maintain a strong understanding of current event trends, styles, and industry best practices. Contribute to the overall success and reputation of the hospitality group through outstanding event delivery. Manage event staff and volunteers effectively during planning and execution phases.
Qualifications:
Bachelor's degree in Hospitality Management, Event Management, Marketing, Public Relations, or a related field. 5+ years of experience in high-end event planning, preferably within the luxury hospitality, corporate events, or luxury brand sector. Proven experience managing complex events with budgets exceeding $100,000. Exceptional organizational skills, with meticulous attention to detail and the ability to multitask effectively. Strong creative vision and aesthetic sensibility. Excellent negotiation and vendor management skills. Proficiency in event management software and standard office applications. Outstanding communication, interpersonal, and client-facing skills. Ability to remain calm and decisive under pressure. A passion for delivering exceptional service and creating memorable experiences. Willingness to work flexible hours, including evenings and weekends, as required by event schedules. Knowledge of the Miami event landscape and local vendors is a plus.
