Other duties include, but are not limited to: developing and leading event coordinators in the day-to-day activities of conference planning, attracting and securing new business, working in collaboration with the event contract manager and chair to design conference budgets, creating numerous event planning tools and timelines for successful conference implementation, meeting conference deliverables and deadlines with grant driven completion dates; submitting all conference reports; writing, editing, and submitting all conference materials which include programs, reports, and announcements, securing and negotiating convention and hotel venue contracts, solving problems professionally, and working directly with conference sponsors to carry out logistics activities. Duties while performing various event activities include: participating and leading the team in all event planning committee meetings, developing meeting agendas, leading committee meetings, editing meeting minutes and agendas as needed, participating in team meetings with proactive ideas and solutions; training new staff members in professional conference activities, develop and maintain accuracy of all event websites, understand and train team members on the on-line registration system, learn and lead team in multiple on-line event platform software, distribute confirmation notices and marketing strategies; coordinate agenda development, understand and lead team members on grant program specifications, apply and distribute CEU certificates; develop and maintain accuracy of all event websites and related list serves, researching, selecting, ordering, and assembling all conference promotional items; developing all conferences set-up needs including banquet event orders, menu selections, and special dietary needs; setting up room blocks and conference facility contracts, negotiating all audio visual needs and contracts with other vendors; securing contracts with convention centers and hotels, coordinating all volunteer and workshop liaison packets, leading speaker trainings and on-site logistics; organizing and staffing registration and help desks day-of the events and assisting in developing event concept, design and marketing strategies, and oversight of all conference deliverables.
