**MARKETING and EVENT PLANNING INTERNSHIP (January - June 2027)**

**Part-Time Volunteer Position**

**Position:**                      Marketing and Event Planning Internship

             (Unpaid volunteer position - student must arrange to receive course credit through their institution)

**Department:**Leisure Services

**Application Deadline**:  Open until filled

**Schedule:**               January - April: Approximate average of 10-15 hours per week

         May - June 15: Approximate average of 20 hours per week (Combination of remote, in-office, occasional after-hours meetings and onsite during event.)    

                                June 15 - 30: Approximately 10 hours per week (mostly remote)

**Job Purpose**

The Marketing and Event Planning Intern will assist the Leisure Services Department with marketing Celebrate! West Hartford (CWH), Town camps, facilities and programs. The intern will also work closely with the CWH Event Director on all facets of event management in the month leading up to the annual festival, held on Saturday, June 12 and Sunday, June 13, 2027. After the conclusion of Celebrate! West Hartford, the Intern will assist with festival follow up. 

**Description of Leisure Services:**

The Town of West Hartford Department of Leisure Services strives to enhance the quality of life for residents and visitors through diverse recreation programs and services offered at Town parks (8), outdoor pools (4), indoor aquatics center, skating rink, public golf courses (2) community center and senior centers (2). 

**Description of Celebrate! West Hartford:**

Celebrate! West Hartford is a two-day outdoor community festival which takes place annually in early-June. The event features an arts & crafts show (150+ vendors), a business & non-profit expo (100+ exhibitors), a food court (25ish vendors), a carnival, live music and road races. Nearly 40,000 people attend each year.

**Essential Job Duties:**

* Support Departmental marketing plan for camps, programs and initiatives
* Visit Leisure Services facilities to take photographs/videos of events, programs, staff, etc.
* Create ads, videos, reels and other social media content.
* Assist Celebrate! West Hartford Event Director, Festival Co-Chair and Leisure Services Marketing Coordinator
* Attend Celebrate! West Hartford committee and Leisure Services staff planning meetings.
* Execute marketing plans including social media, website and traditional media coverage.
* Help with volunteer recruitment and management.
* Organize and prepare supplies, signage, and other marketing materials.
* Work onsite during the week leading up to the event on logistics, including monitoring site access.
* Work the weekend of Celebrate! West Hartford and assist with event clean up and record keeping
* Assist with exhibitor follow-up and thank you campaign.
* Help plan volunteer appreciation event.

**Expected Outcomes:**Gain exposure to and an understanding of the following:

* Executing social media campaign(s) for departmental programs or initiatives
* How to plan a largescale community event.
* Use of event management systems like Eventeny, RunSignUp, SignUp.com.
* Volunteer recruiting, scheduling and communication.
* Food court operations, including event setup logistics.
* Musical stage operations and scheduling of student bands and professional entertainment.
* Juried Arts and Crafts show execution.
* Road Race setup and execution, including registration, prizes and reception.
* Day-of event operations, including troubleshooting issues.
* Development of short, promotional video(s)
* Writing skills for effective web page content

**Minimum Qualifications:**

* Currently pursuing an undergraduate or graduate degree in Marketing, Communications, Event Management, Sports and Leisure Management, or related field.
* Comfortable entering new environments and meeting new people to fulfill the duties assigned by Leisure Services staff.
* Must have a valid driver's license and reliable transportation allowing the ability to navigate to various Town facilities independently throughout the day.
* Must have a cell phone, tablet, camera, or other device to allow for taking pictures.
* Ability to gather information on upcoming events and activities and submit a proposed schedule for approval.
* Must be able to work a full 40-hour week from Monday, June 7, 2027 - Friday, June 11, 2027, and work the Celebrate! West Hartford event on Saturday, June 12 and Sunday, June 13, 2027.
* Able to work independently and adapt to changes.

**Preferred Qualifications:**

* Knowledge of and experience using various social media platforms, including Facebook, Instagram, X, TikTok, YouTube, and Snapchat
* Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, etc.)
* Interest in or experience with basic graphic art production using tools like Canva.com
* Videography/photography and digital editing experience or interest

**Internship Duration:**

Internship expected to run from early to mid-January through June 30. Excludes major holidays.
