Bass, Berry & Sims is seeking a proactive and detail-oriented Marketing & Events Coordinator to join our dynamic marketing team. Reporting to the Director of Marketing & Communications, this position is pivotal in coordinating a diverse range of events that enhance our firm's culture and brand, client relationships, and business development initiatives. Key Responsibilities • Event Planning & Execution: Assist Event Planner with planning and execution of firm-hosted events, including internal employee events, practice groups dinners and receptions, firmwide events, social events related to the Summer Program and First-Year Associate orientation, and firm-hosted client receptions • Vendor & Venue Management: Assist with research and coordinate with venues, caterers, audio-visual providers, and other vendors to ensure seamless event logistics • Budget Management: Help to manage event budgets, ensuring cost-effective solutions while maintaining high-quality standards. This includes processing invoices and logging expenses • Creative Collaboration: Partner in idea generation and the creative process for event themes, formats, and promo items/attendee gifts • Marketing Collateral Development: Collaborate with the marketing team to create promotional materials, including invitations, presentations, signage, and digital content, ensuring brand consistency • Post-Event Analysis: Conduct post-event evaluations (where appropriate), gather feedback to identify areas for improvement • Record Keeping: Maintain organized records of important contact information and event details for future reference • Event Management System (EMS) Proficiency: Utilize EMS for booking and reserving spaces, and communicate with conference services to ensure smooth event execution • RSVP Management: Oversee RSVP processes, including managing attendee lists, creating nametags, and sending Outlook calendar invites • Dinner Arrangements: Coordinate dinner bookings locally and nationally per attorney requests, handling contracts, payments, and receipts • On-Site Event Oversight: Conduct pre-event checks and maintain checklists to ensure all aspects of the event setup are secure and meet firm standards • Workspace Organization: Help to manage and maintain the supply room and workspace organization to ensure efficiency and readiness for events • Branded Promotional Items: Research, order and manage inventory of branded promotional items • Firm Sponsorships: Assist with administrative tasks related to firm sponsorship benefits and fulfillment Requirement • Education: Bachelor’s degree in Marketing, Communications, Event Management, or a related fiel • Experience: 3+ years of event planning experience, preferably within a law firm or professional services environmen • Skills: Strong organizational and project management skills with the ability to manage multiple events simultaneousl • Technical Proficiency: Proficiency in Microsoft Office Suite; experience with CRM systems and event management software is a plu • Communication: Excellent written and verbal communication skills, with the ability to interact effectively and professionally with internal and external stakeholders • Flexibility: Willingness to work outside standard business hours, including evenings and weekends, as event schedules require
