Submit RFPs to source meeting locations & hotels Determine best locations & hotels via online research for local events Conduct site visits to potential locations or venues Make recommendations to management for Event locations / venues Negotiate rates, dates & space Manage legal review process of Event agreements Work with business units to conclude on agenda framework and flow Find off-site dinner locations / restaurants Make recommendations on and ultimately plan activities (individual & team-building) Work with Sr. Work with Creative team to design logos and Save the Date promotional pieces Collaborate with Field Communications on event content Build out conference websites & registration forms Write invitation emails and detailed final confirmation emails Create mobile app using Guidebook platform Communicate with high ranking business executives, senior management and vendors regularly and with timeliness and professionalism Set up and compile pre & post event surveys Send out invoices for event registration dues Review & Process payments to vendors including event related deposits & final payments Make budget friendly recommendations for events as appropriate • Qualifications (Education, Experience, Certifications & KSA) : • High School Diploma or GED required • Bachelor’s Degree; or equivalent combination of education and experience preferred • 3 4 years related experience • Experience in a role as a coordinator or marketing function • Prior event planning or coordination experience for B2B organizations • Computer and technical skills (e.g. Outlook, MS Office Suite, Adobe, CMS or Sitecore, Salesforce, SurveyMonkey, Guidebook, email marketing systems, registration software, and survey tools) • High degree of attention to detail and problem solving capabilities • Strong project management skills • Exceptional customer service skills with a passion for hospitality • Highly collaborative with strong interpersonal skills • Excellent verbal and written communication skills with professionalism • Critical thinking skills to isolate problems and opportunities and to generate recommendations for a plan forward • Multi-tasking at a project-management level • Ability to maintain a calm presence even at heightened demands and stress levels • Ability to travel 30% - point of contact for events or site visits for future events Our diverse business portfolio allows employees broad career options with the advantage of staying with the same organization.
