Job Overview:
Calculated Hire is in search of a Meeting & Event Sourcing Specialist for our Fortune 100 Financial Services Company to support the sourcing, contracting, and management of venues and suppliers for corporate meetings, conferences, trade shows, and events. The ideal candidate will possess strong negotiation skills, extensive knowledge of hotel and meeting supplier contracts, and experience managing multiple sourcing projects simultaneously. This role partners closely with internal stakeholders, suppliers, procurement, legal, and risk teams to ensure cost-effective, compliant, and successful event sourcing.
Key Responsibilities:

Manage end-to-end venue sourcing for corporate meetings, conferences, trade shows, and events.
Conduct venue searches, issue Requests for Proposal (RFPs), evaluate supplier responses, and recommend venues based on business requirements.
Utilize Cvent Supplier Network (or equivalent venue sourcing technology) to manage sourcing activities and document decisions.
Review, negotiate, and execute hotel, venue, catering, and event supplier agreements.
Negotiate commercial terms including:
Room rates
Food & beverage pricing
Meeting space rental
Concessions
Attrition clauses
Cancellation terms
Contract risk provisions
Manage multiple sourcing and contracting projects while meeting established timelines.
Prepare bid comparisons, pricing analyses, and supplier recommendations to support informed business decisions.
Build and maintain productive relationships with hotels, venues, destination management companies (DMCs), and other event suppliers.
Collaborate with Procurement, Legal, Risk Management, Finance, and business stakeholders throughout the sourcing and contracting lifecycle.
Ensure supplier agreements comply with organizational policies and third-party risk management requirements.
Track sourcing activities, contract status, savings opportunities, and supplier performance.
Provide guidance to internal stakeholders on venue selection, supplier negotiations, and contracting best practices.
Support enterprise meeting programs across multiple geographic locations as needed.

Required Qualifications:

3+ years of professional experience in corporate meeting and event planning, venue sourcing, supplier contracting, hotel sales, catering, or convention services.
Direct experience reviewing and negotiating meetings, trade shows, and event supplier agreements.
Experience managing multiple sourcing or contracting assignments simultaneously.
Working knowledge of hotel and meeting supplier commercial terms, including rates, concessions, cancellation provisions, and attrition.
Hands-on experience using Cvent Supplier Network or equivalent venue-sourcing technology to conduct searches, issue RFPs, evaluate proposals, communicate with suppliers, and document sourcing decisions.
Experience using Cvent for venue sourcing and RFP management.
Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint.
Strong written and verbal communication skills.
Demonstrated analytical, organizational, problem-solving, and time-management skills.
Ability to collaborate effectively in a matrixed, cross-functional environment.

Preferred Qualifications:

Experience in financial services or another highly regulated industry.
Experience with enterprise procurement, contracting, risk, or third-party management processes.
Demonstrated supplier relationship management experience.
Experience developing bid comparisons, financial analyses, or supplier recommendations.
CMP designation or relevant hospitality, event management, sourcing, or contracting certification.
Experience supporting geographically dispersed stakeholders or enterprise-scale meeting programs
