• Conduct venue research and RFPs, do site visits, prepare and manage event and meeting production, BEOs, hotel rooms, meeting rooms, on-site coordination and management of all, and post-conference reporting. • Develop and disseminate venue RFPs. • Manage the closeout process for each meeting and event, including reconciliation of costs, updating budgets, and ensuring all documentation is complete. • Develop accurate post-meeting reports for reconciliations. Qualifications • Bachelor’s degree in business, hospitality, communications, or related field preferred • At least 2 years of business/organizational meeting planning experience • CMP preferred • Hotel, restaurant and travel logistics knowledge • Proficiency in Cvent, association database software, and MS Office with advanced skills in Excel • Proven meeting and event coordination experience focusing on corporate/organizational and attendee relationships, budgeting and vendor management • Ability to work independently, follow company policies and manage multiple meetings and events, as needed, and with minimal supervision • Ability to travel onsite (less than 10%) with potential for travel over weekends and extended periods of up to one week for two events per year • High level of integrity, confidentiality and accountability • Ability to prioritize tasks and manage time effectively to meet deadlines • Exceptional communication skills, both written and verbal, for effective collaboration with vendors, attendees and internal teams • Excellent attention to detail and accuracy in data entry and recordkeeping
