Meeting Planner for Pharmaceutical Events

As a vital client liaison and lead for pharmaceutical meetings, you will work directly with global clients to accomplish program goals. This position requires some travel, up to 40% of the time.

Key Responsibilities:

Develop comprehensive project timelines by collaborating with clients and suppliers to ensure smooth execution of all program details, utilizing our business program management system from the kickoff meeting to final billing.

Manage additional hotel arrangements, Congress needs, and third-party contracts while overseeing attrition dates and cancellation policies to guarantee service delivery.

Act as the primary contact for Information Technology, ensuring all web requirements are met and communicate necessary details to the project team to fulfill client expectations.

Conduct and potentially accompany site inspections, producing detailed itineraries and working agendas outlining all program specifics and requirements.

Maintain meticulous records and adhere to all Amex GBT policies for documentation and reporting, assessing program impact for continuous improvement.

Assist in organizing complex Congress meetings and events, ensuring confidentiality and high standards are maintained.

Establish and maintain effective communication with clients, ensuring alignment of expectations and enhancing overall satisfaction.

Collaborate with third-party suppliers, conducting regular status meetings to track progress and ensure program objectives are achieved.

Oversee budget management, reviewing and auditing all related invoices for accuracy and providing regular expense updates to clients.

Qualifications:

Required: 5-7 years of meeting planning experience, including a minimum of 3 years in the pharmaceutical sector.

Experience with Pharmaceutical Congresses is a significant advantage.

A 4-year degree is preferred, CMP certification is a plus.

Excellent communication skills with the ability to engage with management and clients effectively.

Strong organizational skills with a proven ability to meet deadlines and adapt to changing circumstances.

Proficiency in technology and software solutions is essential, including advanced skills in Microsoft Word and Excel.

Experience with meeting industry software, such as CVENT, is desirable.

Exceptional presentation skills, both oral and written, are required.

Willingness to travel by various means as required, up to 40% of the time.

Salary: $55,300 - $102,700
