About FirstLine Schools Our mission is to create and inspire great, open admissions public schools in New Orleans. The Network Operations Coordinator is responsible for a variety of operational duties at the FirstLine Network Office. Management of the Network Office - 40% • Creates and maintains a welcoming and efficient network office that emphasizes organization, professionalism, courtesy, flexibility, and teamwork • Support network office staff with administrative and technology needs (including but not limited to copier, printer and computers) mail, access codes, off site storage and acting as the liaison with external vendors; • Manage the calendar for network office spaces; • Manage the info@firstlineschools.org email address; • Assist with office communications and office announcements; • Coordinate meetings and events with FOAs and SOMs regarding board meetings and large events across the entire network; • Monitor all keys and access codes for all central office employees; • Ensure the network office is attractive and well-maintained; • Provide basic onboarding for new network employees to the network office; • Maintain our off-site filing system in accordance with education and finance retention policies. • Manage all logistics for all leadership and central office retreats including: • schedule and manage event space and associated food (keeping in mind a variety of food restrictions) • ensure proper name placards (proper spelling, full guest list, etc) • ensure all speakers/trainers have all necessary materials for a strong training/retreat • communicate about the retreat/event to all involved attendees (location, meals, etc) • Prepare and execute event work plan for a variety of events, including summer leadership PD; • Schedule event spaces and calendar with appropriate staff and external participants; • Create name placards, signage, seating chart (as needed), copies and other needed materials for network meetings and trainings; • Manage event budget with appropriate cost controls; • Supervise and coordinate the activities of the catering, personnel, custodial team, security, maintenance, and entertainment as needed; • Ensure that all contractual obligations are met with external vendors (Confirm Certificates of Liability); • Secure alcohol permits for events when needed; and • Other duties as assigned.
