About UsFor the past 15 years, Union Pine has been a beloved Portland wedding and event venue known for creating unforgettable experiences and serving as a hub for community, creativity, and celebration.In 2018, we opened Bar West, our restaurant and event venue in NW Portland, followed by the ongoing restoration and development of our seven-acre creekfront property, Deep Creek Farmstead, in 2022.As our longtime Event Director prepares to begin the adventure of motherhood, we re looking for an experienced Event Coordinator to join our team and help lead the next chapter alongside owner Summer Triato, and Bar West General Manager Andria Davies.Position OverviewThe Event Coordinator will oversee the planning, logistics, and execution of events across Union Pine and Deep Creek Farmstead, collaborating closely with leadership on event operations, venue management, bar programming, staffing, and guest experience.This role requires a highly organized, proactive, and creative individual who thrives in fast-paced environments and can confidently manage both intimate gatherings and large-scale weddings with professionalism, warmth, and attention to detail. Many events and weddings will be managed independently, so prior bartending, serving, and hands-on hospitality experience is highly valued and will contribute greatly to success in the role.Key ResponsibilitiesLead the planning and execution of events ranging from corporate gatherings to weddings of up to 150 guestsOversee event logistics including timelines, vendor coordination, staffing, rentals, catering, and venue setupCollaborate with leadership on bar programming, staffing strategy, and work day of bartending shiftsDevelop and produce in-house events, including budgeting, marketing coordination, and vendor managementServe as a primary point of contact for clients throughout the planning processBuild and maintain strong relationships with vendors, clients, and internal teamsTroubleshoot day-of challenges and proactively manage event flow to ensure seamless executionSupport ongoing venue operations and contribute to the continued growth of both propertiesQualifications5+ years of event management experience, including leadership or senior-level responsibilitiesStrong background in wedding production and hospitality-focused eventsProven ability to manage multiple projects simultaneously while maintaining exceptional attention to detailExcellent communication, organizational, and interpersonal skillsExperience coordinating vendors, staffing, budgets, and timelinesAbility to work independently, problem-solve quickly, and lead with confidenceProficiency with Google Workspace and event management software; experience with Perfect Venue, Adobe Illustrator, and InDesign is a plusPassion for creating thoughtful, memorable guest experiencesTo ApplyPlease submit your resume and a brief cover letter outlining your experience and interest in the role via Poached.We re looking for someone excited to grow with us for the long haul.
