Located in the heart of downtown Durham, NC, our office at the historic American Tobacco Campus is a short walk from world‑class dining and entertainment venues including the Durham Bulls Athletic Park and the Durham Performing Arts Center (DPAC).

ABOUT THE ROLE
Lucid Dream is seeking a project manager to support the planning and coordination of immersive VR activations at conferences, trainings, sales meetings, and client events across the U.S.

This role focuses on event logistics, client communication, and readiness coordination, ensuring every event is thoughtfully planned and supported from kickoff through completion. You will work closely with internal teams and clients to keep timelines, details, and communication organized so our immersive experiences can be delivered smoothly and professionally.

This is a highly collaborative, customer‑focused role ideal for someone who loves organizing complex logistics, supporting clients, and helping teams stay aligned in fast‑paced event environments.

Please note: This is a hybrid position based in Durham, NC, with three days in office and two days remote during non‑travel periods. Travel is required up to 30‑40% during peak seasons in spring and fall.

PRIMARY RESPONSIBILITIES:
Event Logistics & Coordination

Coordinate logistics for client VR events including schedules, travel coordination, shipping timelines, and device logistics
Create and manage event checklists, timelines, and run‑of‑show documentation
Track event readiness across internal teams to ensure all deliverables are prepared on time
Coordinate with venues, vendors, and event organizers regarding space, power, Wi‑Fi, and staffing needs
Support the preparation and shipment of event materials and demo kits
Ensure smooth handoff between internal deployment teams and onsite staff

Client Communication & Customer Support

Serve as a primary point of contact for clients for event planning and logistics questions
Provide clear, professional communication before, during, and after events
Ensure clients feel informed and supported throughout the planning process
Gather post‑event feedback and document learnings
Escalate technical or operational issues to appropriate internal teams as needed
Support and execute small client projects and pilots as assigned by the Delivery or Operations team

WHAT YOU’LL NEED TO SUCCEED:

Experience coordinating projects, logistics, or client‑facing operations
Strong organizational and time management skills
Excellent written and verbal communication abilities
Customer‑service mindset with a calm, solution‑oriented approach
Ability to manage multiple events and priorities simultaneously
Attention to detail and follow‑through
Proactive, collaborative, and self‑directed work style

NICE TO HAVE:

Experience in experiential marketing, event production, or conference planning
Familiarity with immersive or technical products
Experience supporting healthcare, life science, or technical clients
Exposure to QA, user testing, or UX processes
Experience working in creative or technical studio environments
Project management certification (CSM, PMP, or similar)
