## The role in everyday terms
As a Sales Assistant you will support the sales team and help ensure groups and events run smoothly. You will assist with identifying and soliciting new accounts and assist with maintaining existing accounts. Helping the team achieve monthly revenue booking goals and completing daily/weekly/monthly reports will be part of your routine. You will receive and respond to requests for information and inquiries, either responding directly to the customer or routing calls to the appropriate team member.
You will compose and distribute routing correspondence, reports or contracts (to include BEOs, Sales Contracts, PACE Reports, Statistical Reports) based upon organizational practice, policies, and at the direction of the Director of Sales or GM. Ensuring all documents are completed accurately and on time, maintaining sales records and the filing system, and creating and maintaining group blocks and catering/banquet events in the property PMS systems are all expected duties.
You will also reserve conference space and book blocks of rooms for guests, assist with set up, maintaining, and clearing of banquet space before and after events, and administer group and meeting/banquet events including greeting all groups, creating and placing welcome amenities in rooms, and finalizing items with the group at check in/out. Following up with past clients to ensure guest satisfaction and coordinating with customers on due dates for rooming lists, cut off dates, BEOs, contracts, etc. to ensure that all deadlines are met are essential parts of the job.
Responding to all guest inquiries and third party meeting leads in a timely fashion, detailing banquet event orders and distributing them to staff, conducting inspections of guest and meeting rooms and banquet facilities to ensure they meet customer expectations, and working closely with the front desk to ensure accuracy of reservations, groups, and events will also be expected. You will work client-related special events and abide by Prime Time Selling hours. Perform various other duties as assigned to meet business objectives.
## Experience, education and skills we require
Minimum of High School education, post-high school education preferred. Minimum of one (1) year in hotel or conference Catering/Sales Assistant role.
You should understand cross team functions and have the ability to manage processes. Strong project management skills and strong problem-solving ability, including metrics-driven and strategic thinking, are important. You must be able to work effectively in a fast-paced environment and consistently demonstrate a high level of organizational skills, and have the ability to communicate effectively verbally and in writing.
Familiarity with property PMS systems and the ability to create and maintain group blocks and catering/banquet events in those systems is expected. Experience composing and distributing BEOs, Sales Contracts, PACE Reports, and Statistical Reports is part of the role.
