The Special Event Coordinator will be responsible for a variety of administrative tasks that are crucial to the event planning process. This includes communicating with clients, managing event details, and ensuring that all aspects of the event are executed flawlessly. In this position, you will assist in the creation of Special Event Orders, ensuring that all information is accurately inputted into our Caterese software. The Special Event Coordinator will also handle financial aspects, including managing event deposits and payments, ensuring that all accounts receivable are collected on schedule. Responsibilities • Assist in the creation of Special Event Orders with attention to detail , • Correctly input order information into Caterese software , • Assist in the creation of event diagrams in AllSeated , • Assist with client communication, responding to voice mails and emails in a timely manner , • Confirm scheduled appointments, planning sessions and tastings , • Order rental equipment for events in a timely manner, including cost summaries and purchase orders when necessary , • Communicate with Operations about logistics for events , • Manage event deposits, payments, and accounts receivable to ensure all payments are collected on schedule , • Attend events as necessary to ensure quality of service and presentation , • Provide efficient and professional service at an appropriate level to meet or exceed client's needs
