Special Event Planner

Location: In-office, Southwest Florida We are seeking a talented and detail-oriented Contract Special Event Planner to plan and execute a variety of in-person events—from high-profile galas to corporate groundbreakings and community activations. Key Responsibilities: • Plan and manage all aspects of special events from concept through execution, including fundraising galas, groundbreakings, and community engagement events • Develop comprehensive event plans, timelines, checklists and production schedules • Create and manage event budgets, ensuring alignment with client goals and company standards • Source, negotiate, and coordinate with vendors including venues, AV teams, caterers, rental companies, transportation providers and more • Support the development and implementation of event marketing creative and promotions in collaboration with internal teams • Manage day-of logistics including venue setup, registration, staffing, run-of-show, and contingency planning • Lead coordination and communication with internal staff, clients, and volunteers to ensure smooth event operations • Serve as a strategic advisor to clients, offering insights and recommendations to enhance event outcomes • Monitor KPIs and event success metrics, and provide post-event evaluations and debriefs • Perform other event-related duties and responsibilities as assigned Qualifications: • 3+ years of event planning experience, preferably in an agency or fast-paced environment • Proven track record managing events of varying size and scope • Strong project management and organizational skills • Excellent written and verbal communication • Proficiency in event technology tools (e.g. registration platforms, planning software) a plus • Ability to manage multiple projects and deadlines with professionalism and poise • Willingness to work occasional evenings or weekends as event schedules require Contract Details: • 6-month contract with strong potential for full-time employment • Minimum of 30 hours/week; average will be closer to 40 • Compensation commensurate with experience
