Special Events Coordinator – Tennessee Valley Railroad Museum (TVRM), Chattanooga, TNThe Tennessee Valley Railroad Museum (TVRM), located in Chattanooga, TN, was established in 1961 and is the premier visitor destination dedicated to preserving and sharing the rich history of railroading in the southeastern United States. Among its several regular excursions, TVRM’s passenger trains run on a historic route that includes the Missionary Ridge Tunnel—completed in 1858 and listed on the National Register of Historic Places. In addition to passenger excursions, TVRM preserves historic railroad equipment to educate visitors about the importance of the railroad industry and its role in shaping the modern world.TVRM is seeking a dynamic and organized Special Events Coordinator to support the planning, coordination, and execution of major seasonal and special events. This role requires strong communication skills, attention to detail, and a commitment to creating memorable guest experiences.Reports to: Senior Director of Guest ExperienceThe Special Events Coordinator is a full-time position responsible for supporting the planning, preparation, and execution of events across the Tennessee Valley Railroad Museum (TVRM). This role focuses on coordination, logistics, communication, and hands‑on support to ensure events run smoothly and reflect TVRM’s mission.Key Job Responsibilities Event Planning & ExecutionAssist with planning, coordinating, and supporting major seasonal and special events.Help develop event timelines, budgets, and operational plans.Coordinate with marketing and operations teams to ensure event details align with TVRM goals and guest expectations.Coordinate event logistics including setup, signage, décor, supplies, and guest experience elements.Gather guest feedback and relay improvement recommendations to leadership.Staffing & SupportAssist with onboarding, scheduling, and supporting seasonal and event staff.Help create staff schedules and assign duties as directed by leadership.Provide on‑site support during events, helping troubleshoot issues and maintain a positive guest environment.Vendor & Partner CoordinationCoordinate communication with vendors, entertainers, caterers, and other event partners.Assist with contract documentation, service confirmations, and deadline tracking.Support delivery schedules, rentals, and permit needs.Inventory & SuppliesMaintain and track event‑related inventory such as décor, supplies, and promotional items.Assist with ordering, organizing, and restocking materials as needed.Safety & ComplianceSupport adherence to safety regulations and museum policies during events.Coordinate with operations and security teams to ensure a safe experience for guests and staff.Assist in implementing contingency plans for weather, staffing, or operational challenges.Qualifications Education / Professional DesignationBachelor’s degree in Event Management, Hospitality, Business, or a related field preferred; equivalent experience accepted.ExperienceMinimum 2 years of experience in event coordination, hospitality, or related field.Strong organizational and multitasking abilities.Excellent communication and interpersonal skills.Ability to remain calm and solution‑oriented under pressure.Ability to work flexible hours including evenings, weekends, and holidays.Experience coordinating with vendors or service providers preferred.Skills / TraitsEffective at managing multiple tasks, deadlines, and logistics.Strong attention to detail and follow‑through.Skilled in communication and relationship‑building.Ability to support the implementation of procedures and processes.Capable of preparing accurate event plans and assisting with post‑event reviews.Basic budget awareness and ability to track spending.Proficiency with event management tools, scheduling systems, and Microsoft Office Suite.Other RequirementsAbility to successfully complete TVRM background and drug screening processes.Environment: Primarily office with indoor/outdoor event work.Shift Work: NoOn‑Call: YesWeekend Work: YesTravel: 0-2 days per monthPhysical DemandsWork occurs in both office and outdoor event…
