This role requires taking on elevated ownership of complex event logistics and strategic initiatives. This position sits on the internal meetings & events team and will report to a Meetings & Events Manager.Essential Duties & ResponsibilitiesServe as a key contributor to planning and executing DaVita’s signature internal meetings and events, ensuring successful delivery and high-quality attendee experiences.Independently own projects from conception to completion, including planning, budgeting, execution, and post-event wrap-up.Collaborate with DaVita senior leaders to bring event concepts to life, aligning with business objectives and goals.High degree of cross-collaboration and attention to detail required for all responsibilities.Responsibilities include but are not limited toManage RFP process and contract negotiations for destination management companies, production companies, transportation companies, and other miscellaneous vendorsBuild & manage on-line registration sites and communications in CventManage event logistics including but not limited to: rooming lists, F&B, BEOs, AV, schedules, presenters, transportation, event material shipping, etc.Initiate development of project plans for individual areas of ownership with minimal oversightEffectively interface with a diverse group of internal and external personnel including senior management, stakeholders, etc.Provide onsite leadership for assigned event components, ensuring service excellence and a seamless attendee experience.Assist with budget tracking, invoice processing, and reconciliation of event expenses.Anticipate challenges and propose solutions proactivelyDevelop service recovery plans for events and ensure improvement goals are achieved or exceededCollaborate with manager to align event execution with strategic goals.Other duties as assignedEducation And RequirementsMust live in the Denver, CO area, hybrid work environment.Bachelor’s degree preferred.Minimum of 3 to 4 years of event planning/coordination experience required, with experience managing multiple, large-scale events.Experience with registration software required; Cvent experience strongly preferred.Proven ability to independently lead event workstreams from planning through reconciliation.Strong vendor management and contract negotiation experience.Ability to perform in a fast-paced, continuously evolving environment and collaborate in a team setting.Exceptional attention to detail, organization, and communication skills.Proficiency in MS Office suite including Word, Excel, PowerPoint, Outlook, and Teams.Certificates, Licenses, and RegistrationsCertified Meeting Professional (CMP) Accreditation a plus, but not required.Travel And Time RequirementsTravel required, approximately 10%.Weekend work may be required when onsite at eventsAdditional RequirementsLanguage Skills: Fluent in the written and verbal skills necessary to successfully perform the essential functions, duties, and responsibilities of the position.ADA/Reasonable Accommodations: DaVita provides reasonable accommodations to enable otherwise qualified individuals with disabilities to perform the essential Physical and/or Mental functions of a position.Work Environment: Level III – Moderate noise (e.g., business office with computers or printers, light traffic).
