StarBase Event Planner

DESCRIPTION: Seeking an exceptional candidate to provide event planning support within a multi-faceted production and event space for client buyouts, private and/or public events and event marketing initiatives of the business unit. Our hire must understand, maintain and support our brand standards and generate positive public relations with clients and guests. The successful candidate is experienced in event management, sales and leading fulfillment duties from pre-event to post-event activities.

RESPONSIBILITIES:

Assist management with processes for event bookings, event checklists, project timelines and managing events within StarBase
Respond to new inquiries and meet with clients to give tours and venue information in order to book private and public events
Prepare and send estimates recommends add-ons that may complement or achieve the client's vision
Event coordination and scheduling and conducts site walkthroughs, as required
Inquiry/client follow up duties as assigned
Calendar management
Documents leads and sales activities
Place orders and coordinate setup, deliveries and pick up with vendors/suppliers
Communication between client and vendors regarding event day details
Maintain brand identity throughout programming, planning and design of marketing event initiatives
Assist in developing, maintaining and improving operational standards
Managing spreadsheets, tracking expenses and navigating digital file storage
Ensure cleanliness of venue and update management of any maintenance needs
Occasional inventory duties
Liaise closely with internal teams and vendors to project manage events in the pipeline
Review truck lists with warehouse crew/lead pre-event
Ensure that event is set up according to event floor plan
Establish and foster new relationships that increase brand awareness for the venue
Assist fellow employees to perform similar or related jobs as and when necessary
Assist with event preparations, set up and strike as needed
Be onsite during events to assist with client and/or guest needs and inquiries
Run errands to secure event supplies for events as needed
Act as on-site contact for outside vendors, such as caterers, A/V, photographers, etc.
Continuously seek out opportunities to learn and improve the knowledge of the job
Undertake any reasonable request made by a member of management
Ensuring booking processes and actions are followed in line with Company standards

EXPERIENCE

4+years in a customer facing role
Prior experience in event planning and project management
Comfort using web based collaboration tools including, but not limited to Asana, Google Suite
Strong business acumen and staying cool under pressure
Natural problem solver, obsessed with finding appropriate solutions to meet customer needs
Able to multitask, and passionate about customer satisfaction

EXPECTATIONS

Understand and proactively manage events and their functions with a "can do" approach. Areas include, but are not limited to: special event management, venue and vendor coordination, production, creative ideas and concept development with clients. Be available for clients at all times, acting as a 24/7 contact during programs.
Provide support with the logistical management and operational execution of client events and programs alongside the Venue Directors.
Manages event changes during pre-planning and on-site, negotiating and up-selling
Orders, confirms and reconfirms all suppliers, develops relationships with supplier/partners, communicates service expectation levels, guarantees, cancellation, billing information, directions, etc.
Prepares and distributes production documents and any other relevant event information, directions, etc.
Responsible for forwarding any necessary event information to vendors and venue management to ensure seamless coordination with venue operations
Conducts pre-event meetings with client to review all details of the program as confirmed
On-site event management as needed during client events

KNOWLEDGE AND SKILLS

Local expert well versed in "everything" Las Vegas
Extensive experience with Google Drive, MS Office Suite (especially Excel)
Must be able to work flexible hours including weekends, evenings, and holidays
Ability to manage operations functions and effectively supervise and direct Staff
Comfortable with email, phone and in person communication
Handle conflict and challenges effectively while staying focused on desired outcome.
Highly self-motivated, solution, solution-oriented, collaborative, proactive and decisive
Excellent interpersonal and communication skills with a diverse group of clients, supplier partners, coworkers and employees
Ability to effetively present information and respond to questions from clients, supplier partners and team members
Abilty to multi task and work on multiple programs with different deadlines
Must be able to work well with all levels of management and staff, event guests and venue staff, clients and supplier partners.

Pay: From $50,000.00 per year
